Position: Administrative Assistant Location: College of Business and Information Science- Office of the Dean

Essential Duties and Responsibilities

  • Develop appropriate systems and procedures to monitor and control workflow in and out of the Dean’ Office
  • Maintain office decorum appropriate for the Office of the Dean
  • Manage the Dean’s calendar, including scheduling meetings, conference calls, and other events, as well as assisting with the prioritization of related tasks
  • Examine incoming correspondence, assess action required, determine deadlines and follow-up action items; place/ screen phone calls
  • Maintain accurate filing systems and records to ensure information is readily accessible
  • Maintain accurate work records and prepare payroll for staff within the college; compile and record employee leave time
  • Prepare and organize materials in advance of meetings and appointments
  • Coordinate the preparation of the budget for the College of Business and Information Science
  • Assist in the management of the budget
  • Prepare annual contracts for faculty within the college
  • Prepare travel request and process reimbursements; book travel and lodging reservations as needed
  • Maintain inventory of supplies and equipment
  • Schedule, open, and close specific computer labs, auditorium and classrooms in a timely and accurate manner
  • Supervise and evaluate junior staff and student assistants
  • Draft correspondence, reports, documents and/or written materials
  • Edit written materials for accuracy and completeness and conformance to established standards and procedures
  • Prepare requisitions for purchase orders and other contracts as needed
  • Maintain files of confidential documents, meeting minutes and accreditation reports
  • Coordinate requests and activities of work-study students
  • Communicate effectively with other staff, faculty, administrators, and the public
  • Assist in hosting outreach activities
  • Perform all other duties as assigned


  • Bachelor's Degree in Business Administration or related field preferred; an Associate Degree in Secretarial Science or a related field is acceptable as well
  • Minimum of three (3) years’ experience in a secretary and/or administrative role in an educational environment
  • Must be able to type a minimum of 55 wpm with a high level of accuracy
  • Must have working knowledge of modern office practices and procedures, spelling, correct grammar and basic mathematical skills
  • Must have working knowledge of various computer software programs such as Microsoft Word, Excel spreadsheets, Office Outlook, print shop, power point, and data base management
