The Project Coordinator – Facilities Operations & Planning provides coordination services for construction projects of varying complexities, including capital projects, renewal and replacement and renovations and maintenance. Additionally, the Project Coordinator – Facilities Operations & Planning will be responsible for coordinating and working with outside, third party vendors as needed.

Job Duties and Responsibilities (specific to CSTARS position)

  • Designated as Emergency Personnel. Responds to after-hours calls and schedules regarding facilities.

  • Maintains/repairs and replaces all cameras campus wide as needed.

  • Maintains all lighting campus wide.

  • Maintains/repairs and replaces card readers’ campus wide as needed.

  • Maintains/repairs inner and outer gates, rollers, motors and electrical components as needed.

  • Coordinates inspections or tests of fire, sprinkler and extinguisher systems.

  • Hurricane preparation. Install all shutters and deploy sandbags to all doors and openings campus wide.

  • Keeps thorough and up to date records on activities regarding CSTARS maintenance.

  • Experience in carpentry, electrical, low voltage, air conditioning, plumbing, and general building maintenance.

  • Perform HVAC preventative maintenance.Replace motors, belts, contactors and capacitors as needed on all split systems. Clean condenser and evaporator coils as needed or at least once a year.

  • Other duties as assigned by RSMAS Facilities Management and CSTARS Management.

CORE JOB FUNCTIONS

  • Plans and coordinates administrative tasks to include facilitating project logistics such as scheduling meetings, conference rooms, conference calls, equipment meeting minutes, filing and answering phones.

  • Processes purchase orders, invoices, and other documents.

  • Coordinates RFP, RFQ, bid submittals and award communications activities with outside vendors.

  • Advances and enforces operational procedures and best practices, ensuring staff compliance.

  • Communicates and provides reports to various stakeholders detailing project progress, schedules and spending.

  • Assists with tracking of project budget and permits.

  • May be required to oversee administrative staff.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Education:

Bachelor’s Degree in relevant field

Certification and Licensing:

Certification in relevant specialty or field

Experience:

Minimum 2 years of relevant experience

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

Department Specific Functions

The Project Coordinator - Facilities Operations & Planning is responsible for ensuring that the CSTARS operation continues efficiently and effectively without interruption through coordinating the security conditions, physical, environmental and ongoing facilities maintenance projects. Works in conjunction with the CSTARS Staff and RSMAS Facilities Administration to provide, planning and implementation for multiple projects including developing and maintaining facilities-related activities, projects, policies, and procedures.
