* Required Qualifications Associate's degree from an accredited college or university in a related field and a minimum of four years' progressively responsible experience in administrative support positions, including two years at the Administrative Assistant 1 level.
OR
High school diploma, GED, or equivalent from a state or federal accrediting organization and seven years' progressively responsible experience in administrative support positions.Knowledge, Skills, & Abilities Ability to maintain confidentiality
Excellent interpersonal, written and verbal communication skills
Proficient in Microsoft Office and other computer software/databases
Detail-oriented with strong organizational, prioritization and multi-tasking skillsPreferred Qualifications Ability to efficiently use Banner, Crystal, Extender and other processing programs and software. Successful experience in office management at the department or college level, or equivalent in other university areas. Communicator, self-starter, technology skills, strong organizational skills, reliability.Responsibilities This position will recruit potential graduate students for all programs within the COE. This position will also advise MAT students and serve to facilitate the admissions process for all graduate programs in the COEMaintain information for accreditation and internal reviews including but not limited to: Maintaining monthly compliance with departmental and university guidelines and regulations: maintaining accurate faculty and personnel records, updating instructor justification and support documentation

- Create special reports and gather required information
- Assist in preparation of schedule of course offerings
- Prepare and maintain financial, academic, and administrative reports
- Initiate new hire process for student employees and limited term faculty (offer letters)
- Project summer salary budget
- Complete pay request reports for summer pay
- Process travel paperwork for payment for all faculty and staff in the department
- Update Department Faculty Handbook
- Prep re standard operating procedures for department
- Update Department Graduate Assistant and Student Worker Handbook
- Update Department Limited Term Faculty
- All other duties as assigned
- Departmental Budget Fund (Purchasing, Entering, Reconciling)
- F&A Department Fund (Purchasing, Entering, Reconciling)
- Procurement Card- Department (Purchasing, Entering/Allocating, Reconciling)
- Foundation Account (Purchasing, Entering, Reconciling)
- Gran s and Consulting Contracts (Purchasing, Entering/Allocating, Reconciling) to include pre- award, post-award departmental activities as appropriate
- Submit vendor forms to travel and business offices
- Order supplies, materials, equipment for department, centers, and/or grants
- Enter purchasing requisitions for equipment and supplies
- Reconcile budgets within the department each month and report to Chair
- Sign-off Works transactions regularly
- Reconcile P-card statement monthly and review with Chair
- Document purchases and obtain receipts
- Develop publications (weekly departmental newsletter, brochures, posters and other marketing item) for seminars, conferences, and other events
- Proof reading and copyediting of faculty work
- Attend training classes to remain current on policies, procedures, or skill-building
- Provide current and updated information to webmaster
- Maintain department copies (submitting meter read each month, change toner, and handle maintenance agreement)
- initiate work requests for repairs and maintenance
- Provide requested administrative support for faculty searches
- Support transition of newly hired and/or retiring faculty
- Provide support as directed by Chair for specific departmental initiatives
- Perform all other related duties/tasks as assigned.
