This position is responsible for providing administrative and programmatic support for the Chair of the Mechanical Engineering department. Manages front office operations for Mechanical Engineering (ME) Department. Manager is to ensure that the operational mission of the department is being accomplished; maintains the departmental calendar, schedules appointments for the Chair.
Ensures the Chair/Department meets deadlines that pertain to preparation of promotion and tenure folders; AOR submissions; verifying FACET reports.
When appropriate, recommends new policies & procedures designed to improve efficiency in these processes.
Responsible for providing support for the ABET accreditation process for both Panama City and Tallahassee Mechanical Engineering. This includes supporting the collection of data, ensuring deadlines are met, assisting in preparing the readiness review, requests for evaluations and on-site visits, coordinating with Panama City and Tallahassee on required self-study documents, scheduling on-site visits, and aiding in preparing any responses from the accreditation agency.
Responsibilities include but are not limited to: knowledge of processes needed for the self-study report; collecting assessment data for all core course each semester, collecting data yearly such as samples of student work, syllabi, textbooks and sample assignments, promotional materials of program offerings, official academic transcripts of recent graduates based on request from reviewers, policy documents regarding evaluating student performance, advising, etc.
Serves as principle liaison between the department and the COE Office of the Dean, other departments of the COE, and other such affiliated entities. Reviews, compiles, and assists in response to all requests for information from above entities and is authorized to reply on behalf of department to any request that does not require personal attention of the Chair.
In conjunction with MarCom, is responsible for design of bi-annual department newsletter, posters, verifying authorship of articles written for publication on department materials, managing listservs.
Verifies with HR and academic staff that correct funding sources are selected for Instructors of Record when courses are built each semester.
Other duties as assignedQualifications Bachelor's degree and two years’ experience or a high school diploma or equivalent and experience equal to six years

Ability to communicate effectively verbally and in writing.
Knowledge of the concepts, principles, and practices of accounting, budgeting, and cost control procedures.
Knowledge of the principles and practices of event planning and ability to coordinate, organize and evaluate meetings and/or events.
Ability to prioritize, organize and perform multiple work assignments simultaneously.
Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
Knowledge of data analysis techniques and methodology.
Ability to develop and implement policies, procedures, goals, and objectives.
Knowledge of the principles and practices of project planning, development, and evaluation.
Ability to establish and maintain effective working relationships.
Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.
