Job Summary:
Eastern Washington University is seeking an experienced Student Services Coordinator for our School of Social Work in the College of Social Sciences. This position is responsible for planning, directing, and organizing the operations and services of the School of Social Work, providing student services and maintaining student records, and managing the student admission process for all MSW and BSW students. The School of Social Work admits and matriculates a large number of students each year.

This is a 100% time position that works 12 months each year, 40 hours each week. Candidate hired for this position will receive comprehensive health benefits, paid vacation/sick leave, paid holidays and more!

After training and demonstration of mastery of position essential functions, position will exercise independent judgment and discretion relating to students and interpreting and applying program policies, guidelines, contracts, and procedures. Position will independently advise students, staff and the public regarding the program and the University, and act as liaison to local organizations. Position will also provide needed support and/or information to the School of Social Work.

In the course of performing the position's duties, this position will have extensive involvement with students, staff and the public in carrying out operations and services of the Student Services Program Office.

Responsibilities Include:

  • Plan, direct and organize the operations and services of the Student Services Program Office
  • Coordinate with the Director on scheduling courses for the summer and academic year
  • Provide student services; maintain and manage student records; resolve student scheduling issues

Required Qualifications:
  • Bachelors degree in any field associated with the social sciences or in a business-related discipline
  • Two years’ experience performing work relevant to the position’s key responsibilities; qualifying work must be beyond entry-level tasks; to be considered qualified, your experience must include at least two of the following:
    • Planning, directing and organizing program operations,
    • Responsibility to make decisions affecting program operations and to resolve issues,
    • Independent advising of students regarding program content, policies and procedures,
    • Responsibility for database creation/maintenance, for conducting data analysis, and generating reports,
    • Responsibilities related to admissions processing,
    • Responsibilities as a supervisor or lead, including advising and training staff, and overseeing work.
  • Strong computer skills including but not limited to (note: applicants may be tested as part of the interview process):
    • MS Word - Perform complex word processing tasks.
    • MS Excel - Use spreadsheets to develop and maintain records.
    • Database Management - Maintain complex databases, including sorting/importing/exporting files and creating reports.
    • Email (Outlook) - Ability to send messages to multiple recipients, make contact lists, and send attachments.
    • Internet - Ability to search and retrieve information from the internet efficiently.
    • Zoom - Ability to schedule and manage meetings as host.
  • Demonstrated strong interpersonal skills; successful experience serving as a program liaison with multiple internal and external entities would be one example of experience which would demonstrate strong interpersonal skills
  • Demonstrated superior customer service skills including the ability to perceive needs and appropriately respond to highly diverse constituencies (students, faculty, state agencies, private practitioners, vendors, campus constituencies, administrators, etc.).
  • Strong organizational skills demonstrated by work experience prioritizing within a complex work environment including overlapping job requirements, multiple deadlines, projects of varying complexity and duration, and meeting the needs of multiple individuals.
  • Experience using standard office equipment including computer, print, fax, copiers, scanners, multi-line telephone systems and messaging systems.
  • Demonstrated ability to apply a culturally responsive and flexible approach that is supportive to the diverse needs, including universal access, of our students, faculty, staff, and the public.


Preferred Qualifications:
  • Master’s Degree in the social sciences or business related discipline
  • Two or more years work experience in a higher education environment involving student support services
  • One year experience with Banner, EagleNet, Canvas or similar educational software programs.

  • Ability to stay focused and make progress on long-term projects despite frequent interruptions by individuals and short-term program needs


Job Duties:

Responsibility / Duty:
Plan, direct and organize the operations and services of the Student Services Program Office
  • Oversee day to day operations of program office.
  • Resolve issues pertaining to the program office to ensure smooth operations.
  • Work with other offices (registrar, grad, financial aid) to coordinate programs.
  • Attend meetings on behalf of Graduate and Undergraduate Directors.
  • Represent Director and make decisions ensuring program continues in his/her absence.
  • Meet with Program Directors to review programs and recommend changes.
  • Coordinate the course announcement information both yearly and quarterly.
  • Analyze course information and maintain computer file for course information.
  • Resolve problems with the course information prior to Chair/Director and Dean review.
  • Analyze and prepare reports/correspondence for review by the Director.
  • Perform work specific to the social work MSW and BSW programs relieving the Director of operating and administrative details.
  • Train and support Program Directors
  • Represent the MSW program with the Registrar, Financial aid, Graduate Office and external agencies related to the off campus programs.
  • Problem-solve ways to improve processes and procedures and recommend to Director for implementation.
  • Edit and proof all materials for publication and promotion of program.
  • Update and maintain information in CLSS and Eaglenet

Provide student services; maintain and manage student records
  • Independently advise students on issues regarding program content, policies and procedures.
  • Problem solve issues related to part-time program students and directors.
  • Schedule orals for graduate students, notify committee members of changes.
  • Schedule rooms for courses and handle changes.
  • Maintain and update computer database files.
  • Maintain and update hard copy files, archive annually.
  • Maintain program statistics-numbers, ethnicity and others as needed by CSWE.
  • Track student registration and progress in program.
  • Compile data for required reports (NASW, CSWE, Accreditation).
  • Maintain database record of all students applying to programs and provide accurate data to Dean as requested.
  • Prepare and assist in the completion of forms-candidacy, advising, registration, graduation, etc.
  • Track student grades and report to directors

Manage Student Admission Process
  • Answer inquiries regarding BASW and MSW programs by sending out application materials.
  • Meet and greet walk-in and phone inquiries providing information regarding social work programs and admissions processes.
  • Interpret, inform and advise students of program admission policies and procedures.
  • Handle the processing of applications, working with the Social Work MSW Admissions Committee, BASW Committee, and the EWU Graduate office.
  • Prepare all packet materials for student applicants, update as needed.
  • Coordinate with the EWU Graduate office to make sure information is accurate in WebAdmit.
  • Track and facilitate the admission process.
  • Prepare admission folders and distribute to faculty for rating.
  • Notify students of admission information in application, assist in completion of materials.
  • Keep records regarding WEST and WICHE waivers for graduate students.
  • Coordinate with the EWU Grad Office to admit new students to the program.
  • Understand and interpret EWU and Social Work admission requirements.
  • Implement new procedures as directed by the admissions committee, Program Directors, and Chair/Director.
  • Communicate with off campus directors to process student applications.
  • Analyze and interpret data surrounding students admitted to program.
  • Use independent judgment to interpret policies regarding student applications and admissions.
  • Provide updated student admission information to Chair/Director and Program Directors.

Additional Administrative Responsibilities

A. Plan and Supervise Activities for the Part Time MSW/BASW Programs
  • Coordinate with Directors of part-time programs and Faculty instructors the use of distance education technology classrooms.
  • Assist with off campus office arrangements and classroom assignments.
  • Plan and facilitate the start-up of new off campus programs.

B. Supervisory Duties
  • Oversee and coordinate with off campus support staff regarding program procedures and policies.
  • Advise and train classified staff and part-time employees located in off campus programs.
  • Advise and train classified, part-time and workstudy personnel in main office.
