Accounting Specialist II 

Regular Full-time

This position will assist the Business Manager with fiscal, office operations, human resource, academic, and data management responsibilities, and provide advanced administrative support in the Department of Educational Leadership and Policy Studies. Under the general direction of the Business Manager, this position supports the department's central operations by providing administrative support to the department (Department Head, Associate Department Head, Business Manager, Faculty, Program Coordinators, and office staff). This position will also provide direction and assistance to faculty and staff for fiscal compliance along with granting agency guidelines.

FINANCIAL:
• Post accounting transactions in IRIS for regular and contract invoices, purchase orders, honorarium/consultant payments, petty cash reimbursements, cash deposits, and internal transfer vouchers. 
• Reconcile monthly financial ledgers for assigned accounts including state appropriated accounts, start-up accounts, endowed and non-endowed gift accounts, income accounts, and research accounts.  
• Manages new vendor creation, and enters requisitions.
• Review IRIS transactions for centers (CEL and PERC)
• Manages gift card inventory; provides reports to Business Manager to ensure award compliance
• Procure office supplies, event supplies, and memberships (purchases) using procurement card
• Coordinate and process travel authorization and travel reimbursement through IRIS (SAP) system for faculty, staff and students  
• Coordinate travel arrangement with Word Travel (flights, hotels, and meetings) for the faculty and students
• Act as liaison between Sponsored Projects Accounting (SPA), the Office of Sponsored Projects (OSP), the CEHHS Office of External funding, and the department and principal investigators.
• Assist the Principal Investigator (PI) and the Director with compiling and entering data for quarterly, semester, and yearly reporting on projects, grants, etc., as well as prepare responses/reports to campus and outside agencies/offices.
•  Process and complete the Schedule of Final Charges (SFC) and close accounts in close coordination with the Office of Sponsored Project Accounting.
ADMINISTRATIVE:

• Assist search committees with coordinating meetings, space, advertising, and data related to search
•  Process curricular (CRC), and timetable changes, coordinating with faculty, staff, Dean’s office staff, and other university units.
• Coordinates with faculty, staff, and Dean’s office staff with the Promotion and Tenure process, and assists faculty with assembling materials and documentation.
• Coordinates departmental events by booking venues, arranging catering, preparing invitations, preparing venue set-up, and acting as point-of-contact during events, and using graphic design programs, such as Canva, to create flyers, advertisements, etc.
• Manage department's website, and social media: Instagram, Twitter, Facebook.
• Collaborate with Business Manager, Program Coordinator's on marketing initiatives
• Assists with facility related projects, and ensures ELPS office is maintained (organized, etc.)
• Records management, unlocking classrooms etc.
• Coordinate student admissions process for the Higher Education Administration (HEA) and College Student Personnel (CSP) Program 
• Collects and maintain admission information via mail, e-mail, and SLATE database to create new applicant files for HEA and CSP programs.  
• Audits files for completeness, inputs new data into the departmental database, and summarizes information for faculty to make admission decisions.  Distributes the applications to appropriate faculty members for review and decision-making. Notifying applicants after faculty make decisions.  The person in the position prepares forms for admittance or denials into the programs for signature by the department head/supervisor to process in SLATE system.
• Enrolls students; registers students for classes; prepares students for graduation. Acts as liaison between students and graduate admissions and/or the graduate school from the time they apply to the time they graduate.



Qualifications
REQUIRED QUALIFICATIONS:

Education:

High school diploma or GED required.

Aossociate or bachelor's degree in Business, Accounting, or related field preferred.

Required Qualifications:

Knowledge of generally accepted accounting principles. Strong computer skills in MS Word, EXCEL, PowerPoint, Publisher, Outlook, Adobe Acrobat. Ability to multi task, work independently, prioritize, problem solve, and understand relationships in financial matters. Strong communication skills, interpersonal skills, and customer service skills. Four to five years office/accounting experience and one to two years in an academic setting working with budgets, ledgers, or grants.

QUALIFICATIONS PREFERRED:

Knowledge of and the skills to utilize university systems such as Banner, ARGOS, SAP/IRIS, ASTRA, Cayuse and SLATE. Knowledge of UT policies and procedures. Knowledge of Uniform Guidance. Preferred experience Associate’s or Bachelor’s in Business accounting or related field, of 4-5 of office experience that requires accounting skills. Preferred experience at least one year of experience with Banner and IRIS working with externally funded grants including monitoring accounts for compliance, assisting with budget preparation and reconciliation.
