Job Description:

The College of Pharmacy Academic/Student Affairs Office at the Orlando Campus is looking for a part time (20 hours/week) OPS Administrative assistant. This position supports the faculty and manages the front reception area at the University of Florida College of Pharmacy Orlando campus. This individual will primarily be responsible for front office operations, faculty support, and managing administrative duties associated with academic/student affairs. This position will work at the front desk reception area and serve as the primary point of contact for faculty, staff, students, and guests

Duties include but are not limited to the following:

*Front office responsibilities – The incumbent in this position will greet faculty, staff, students and visitors. Will be responsible for answering phones, receiving/sending packages, working with LN facilities on work orders and maintaining common areas. Serve as a liaison with the Shared Services Center (SSC) for paperwork as needed.

*Faculty Administrative Support – Provide basic administrative support such as taking meeting minutes, making copies, faxing/scanning, student printing, processing travel arrangements for faculty and staff, establishing and maintaining office calendars, ordering supplies, preparing exams and quizzes for class meetings, and other administrative duties as assigned.

*Academic Office Support – Prepare and hand out classroom materials, proctoring exams and provide classroom support when needed, train new proctors, maintain proctor schedule, skills lab support, and support student affairs events/staff as needed.

Miscellaneous duties as needed to provide support for the overall function of the College of Pharmacy Orlando Campus.

Expected Salary:

$15-$17 per hour; commensurate with education and qualifications

Minimum Requirements:

High school diploma or equivalent

  • Two years of administrative office experience
  • The ability to communicate clearly, meet deadlines, be self-motivated, and work independently
  • Accuracy, attention to detail, and a customer service oriented attitude
  • Ability to work collaboratively and be a team player

  • Ability to work collegially and interact effectively with a diverse constituency
  • Ability to maintain confidentiality
  • Working knowledge in these areas: Microsoft word, Microsoft excel, Microsoft outlook
