Job Summary
Columbus State University has an opening for an Administrative Coordinator in the University Police Department. This position will possess significant budget responsibilities including budget management, serve as departmental purchaser, ensure compliance with University spending guidelines, as well as serve as the point of contact for all departmental forms such as travel authorization, and purchase card reconciliation. This position will also serve as the Police Department's State Certified Terminal Agency Coordinator (TAC). Per state law, any agency with a Georgia Crime Information Center (GCIC) terminal must maintain a certified TAC staff member, ensuring the department's ability to query, enter, modify, and clear information in local, state, and national computerized databases such as the GCIC, National Crime Information Center (NCIC), and the Department of Motor Vehicles (DMV) pertaining to arrest warrants, driver record/history, stolen property, other similar data, and transmit relevant information to field units.

Responsibilities
Significant responsibilities include but are not limited to:
  • Preparing varied documents and assure adherence to practices and procedures, completeness of documentation and program format. Some of these include: purchase requests (ePro electronic procurement), personnel documents, travel forms, and training requests, etc.; using various software applications such as word processing, spreadsheets, and databases; retrieving data from various databases in conjunction with assignments.
  • Administration of training for all sworn and non-sworn UPD members as it relates to privacy and security, the dissemination of Criminal History Record Information (CHRI), use of the GCIC terminal, proper use of GCIC and NCIC procedure books and other related training; responsible for maintaining, posting, and filing all procedural updates received from GCIC.
  • Answer emergency calls and non-emergency calls from the public; take messages, screen and transfer calls, and provide information; ensures the operational readiness of equipment related to the emergency telephone system, user and affiliated agency radio systems, and the department's computer aided dispatch system (CAD).
  • Process FBI fingerprint background checks and statewide background checks.
  • Complete monthly reports and validations; maintain all records and reports that are contained on paper, digital format, microfilm, and other media within the department; complete various reports and correspondence relating to dispatch activities in a timely manner, such as investigations, inquiries or preparation of documents for court purposes, including CAD reports, and open records requests.
  • And all other related duties as assigned.

Required Qualifications
Minimum qualifications include an Associate's degree from a regionally accredited college or university; The successful candidate must possess excellent oral and written communication skills; a strong attention to detail; a demonstrated knowledge of office management; the ability to identify, compile, verify, and organize a wide variety of detailed budgetary data related to different accounts, in support of procurement, travel, etc.; the ability to assist with monitoring the use and rate of expenditures of program budgets; the ability to coordinate the logistics of meetings, schedule conference rooms, ensure audiovisual support, make and distribute copies, etc.; the ability to develop and maintain filing systems and update, maintain, and dispose of files in accordance with policy and regulations; the ability to communicate effectively with other staff, faculty, and team members and maintain effective working relationships; a demonstrated knowledge of work related computer applications and basic mathematics; the ability to prioritize tasks during high volume work times and to switch between tasks at a moments notice; the ability to handle stressful situations; the ability to work independently with minimal supervision; the ability to maintain and prepare detailed and complex reports accurately and efficiently; the ability to maintain a professional demeanor; and a willingness to assume duties not specified in this description.

Preferred Qualifications
Preferred qualifications include: previous budgeting experience; knowledge of Federal, State, and Local rules, regulations, ordinances, and policies and procedures related to the use of criminal justice systems and government records retention; knowledge of NCIC and GCIC Rules and Regulations; and knowledge of State Purchasing rules and regulations.

Proposed Salary
The annualized salary range for this position is $32,253 - $36,284 and includes full benefits.

Conditions of Employment
A successful criminal background check is required as a condition of employment and must not possess any felony convictions or crimes of moral turpitude. This position also requires a valid driver's license with a clean driving history.

The successful candidate must also possess the ability to obtain and maintain GCIC TAC (Terminal Agency Coordinator) designation or the ability to obtain one and completion of Georgia POST Dispatcher certification or the ability to obtain one.
