Responsibilities

Responsible for initiating purchases for the department; verifies status and provides requester with email notification of status; follows up on special requests related to orders and works with University Purchasing or the vendor to resolve problems that may occur. Works with faculty, staff and students to determine purchasing needs and budgetary restrictions. Generates internal auxiliary purchase orders and works with business manager and grant managers to maintain sufficient balances.

Receives purchase orders in OMNI and monitors payment of invoices to ensure compliance with the University Prompt Payment Policy. Works with Accounts Payable and Purchasing to resolve problems as needed. Responsible for providing department Account Associates, Grants Compliance Associates, and Grants Compliance Analyst with copies of all purchasing materials.

Responsible for using purchasing card to complete transactions; maintains records of order request, payment, shipping and any other correspondence for audit purposes; verifies receipts for accuracy; and works with proxy on resolving any questions or concerns.

Responsible for maintaining records of all deposits for reconciliation purposes. Serves as the Petty Cash Custodian for the department; responsible for distributing cash for approved Petty Cash Receipts and submitting Payment Request Forms to reimburse the Petty Cash fund as needed.

Other duties related to this position, such as assisting with account reconciliations, coordination with stockroom regarding deliveries, and preparing monthly reporting.

Qualifications

Bachelor's degree or a combination of post high school education and experience equal to four years. Note: Higher education can substitute for experience at the equivalent rate.

  • Ability to communicate effectively, both verbally and in writing.
  • Ability to work independently in a high volume work environment and prioritize multiple work assignments to meet deadlines.
  • Ability to maintain an effective working relationship with co-workers, supervisors, and interdepartmental personnel.
  • Experience in interpreting and applying policies and procedures to daily work tasks.
  • Knowledge of proper office procedures and etiquette and the ability to use standard office equipment is essential.
Preferred
  • Experience in Spearmart, OMNI, and purchasing processes.
  • Excellent communication and organizational skills.
  • Experience with cash handling/petty cash procedures.
  • Experience in purchasing lab materials.

Anticipated Salary Range

The anticipated starting salary range will be low to mid $30,000s commensurate with qualifications.
