Job Description:

Grant Management

  • Monitor daily grant and contract project activities including expense and equipment purchases
  • Monitor ending dates for contracts and grants to ensure timely close-out of accounts, or applications for grant extensions or Institutional Review Board
  • Ensure administrative, budgetary, and reporting requirements are met
  • Prepare appropriate documents and reports
  • Maintain grant accounts, UF Research Foundation accounts through DSR, and Foundation accounts;
  • Maintain up-to-date accurate records, utilizing UF budgetary system to maintain up-to-date fiscal, technical, and administrative files
  • Initiate and prepare paperwork for appropriate signatures
  • Reconcile monthly ledgers
  • Act as liaison with funding agency as well as UF departments
  • Assist with manuscripts and abstracts for submission in journals and meetings at faculty’s request
  • Coordinate international students and visa issues for research staff and PhD students
  • Drug Enforcement Administration license material
  • Work closely with Dean’s office staff and APK office manager and APK Department Chair
  • Administrative Support Staff

  • Coordinate seminar and scientific meetings held by the CES; includes room reservations, registrations, preparing materials for handouts, accommodations, and travel
  • Process travel authorizations and expense reports
  • Process grant funded payroll appointments for OPS, graduate assistants and fellowship recipients; Maintain files
  • Order supplies (purchase card and on-line requisitions); Process vouchers, invoices, ID encumbrances, expense refunds, etc.
  • APK Directory Coordinator
  • Assist with Payroll duties; Verify payroll cost distribution report to ensure accurate pay of employees
  • Back-up to Office Manager with maintenance of departmental accounts
  • Assist with the distribution of CES parking passes and ensure compliance
  • Assist with the vehicle schedule
  • Pre-Award Grant Activity as a Backup to Dean’s office Staff

  • Assist faculty in grant preparation; Collect, compile and review data for proposal development and submission; Ensure compliance with federal, state, and agency policies
  • Advise PI of UF policies regarding contract and grant, purchasing, and accounting regulations
  • Provide assistance and prepare documents for grant submissions
  • Initiate and prepare paperwork for appropriate signatures
  • Assist the Director of the Center for Exercise Science

  • Provide support services to CES Director
  • Ensure that the Center for Exercise Science meets compliance with statutes, rules, regulations, and policies
  • Prepare reports of a general and confidential nature related to research
  • Assist with special requests such as reports, data collection, and other tasks as requested; Other duties as assigned

    Expected Salary:

    $19.63 - $22.50 per hour

    Minimum Requirements:

    Bachelor's degree; or an equivalent combination of education and experience.

    Preferred Qualifications:

    • Understanding of the framework of UFIRST and ability to become an expert.
    • Must be able to interpret agency guidelines, university policy, and college policy and apply to funded projects.
    • Ability to read complex policy documents, interpret, and provide technical and policy advice for postaward activities.
    • Ability to investigate and learn all current rules, regulations, policies and procedures related to the funding sponsor, the University of Florida, and the College of Health and Human Performance.
    • Ability to utilize problem solving techniques, use good judgment, set priorities and work under deadline.
    • Ability to establish and maintain effective working relationships.
