Summary of Duties:

The Curriculum Specialist-Courses and Enrollment will be the principal individual in the Office of Curriculum to plan and execute the process of building all courses in the MyWSU database. The incumbent will also audit, identify, and resolve issues as they arise. Knowledge and expert use of various education databases and learning management / curriculum management systems (LMS & CMS) E.Flo MD will be necessary in the role. The incumbent will partner closely with all Curriculum Specialists, members of WSU Registrar’s Office, scheduling, and Financial Services team in Pullman, the Spokane Health Sciences campus Registrar, Financial Services, and academic scheduling team, and the manager of the Office of Curriculum to ensure that all curricular registrar, course revision, and new course submission needs are met.

In addition, the incumbent will manage and execute syllabi creation, maintenance, facilitate the required approval processes, and post to students in the LMS & CMS E.Flo MD.

The incumbent will manage the student schedule in E.Flo MD, facilitate the collection, organization, and upload of session level learning objectives into E.Flo MD, update and maintain course information on course pages, and complete E.Flo MD mapping activities for Years 3 and 4 of the curriculum.

The incumbent will also manage and execute course guide creation, maintenance, and posting in conjunction with the Year 3 & 4 curriculum specialist and clerkship coordinators to distribute as appropriate.

Finally, the incumbent will also work closely with the Director of Curriculum Accreditation and Management (or designee) to ensure programmatic information is updated and available to stakeholders and is responsible for additional curriculum mapping activities.

30% Strategic Curricular Leadership
-Support the Associate Dean for Curriculum in strategic planning and continuous improvement of the medical education program.
-Coordinate instructional support activities over all four years of the medical education program.
-Independently problem solves issues when identified. Seek guidance from team members or manager of the Office of Curriculum when needed.
-Collaborate with other units of the College of Medicine, including but not limited to Education Technology, Assessment and Evaluation, Faculty Development, Accreditation, Compliance, Student Affairs, biomedical sciences and clinical faculty departments for all matters related to curriculum services.
-Collaborate with Spokane Health Sciences Campus Information Technology, Library Services, Student Affairs for all matters related to curriculum services.
-Provide consultation for professional/faculty development needs to the Faculty Development team.
-Provide consultation for LMS & CMS (E.Flo MD) design and functionality.

25% Curricular Registrar and Scheduling Execution
-Responsible to plan and execute all activities associated with building courses in MyWSU for student registration for all four years of the curriculum.
-Build and publish each individual course in the MyWSU system (anticipated to be approximately 125 courses) for each of the four college campuses. This includes the single section courses for the Years 1 and 2 curricula as well as the multiple sections across the four clinical campuses for the Years 3 and 4 curricula.
-Ensure students are registered correctly in MyWSU against internal rosters.
-Serve as a liaison for the Office of Curriculum regarding all matters relating to course registration and building. Parties may include students, college faculty, staff, administrators, preceptors, and the WSU Health Sciences Campus and WSU Pullman Registrar Offices.
-Communicate changes in student status, including but not limited to name and learning community changes and leave of absences to stakeholders.
-Independently manage classroom strategic planning and collaborates with campus academic scheduling to schedule classroom space for the pre-clerkship curriculum.

25% Curricular Support
-Responsible for all course syllabi development and maintenance, utilizing templates and mail merge functionality for all four years of the curriculum.
-Shepherd course syllabi through the Curriculum Committee and subcommittee process on a systematic timeline to ensure publication and distribution to students by the first day of the term.
-Stay abreast of syllabi content requirements, policies, procedure, and language changes. Adjust syllabi to maintain compliance with required university syllabi elements following WSU Health Sciences Campus and WSU Pullman Registrar Offices procedures as required.
-Ensure course objectives are added to the CMS and LMS E.Flo MD for stakeholder mapping-related duties once syllabi approved through the applicable committee structures. Edit existing course and activity objectives, as appropriate, in cases of back mapping and quality control.

-Execute the following responsibilities for the Year 3 & 4 Curriculum and serve as back up for Years 1 and 2:
-Establish individual student schedules within LMS & CMS (E.Flo MD) for assigned year of curriculum.
-Collect, organize, and upload Learning Objectives into LMS & CMS (E.Flo MD) for assigned year of curriculum.
-Create, manage, populate, and upload Education Activity Forms for assigned year of curriculum.
-Update and maintain course information on course pages within LMS & CMS (E.Flo MD) for assigned year of curriculum.
-Complete LMS & CMS (E.Flo MD) mapping activities, including mapping session level (activity) objectives to course objectives, milestones, program competencies, and assessment methods for assigned year of the curriculum.
-Work with faculty to ensure curriculum content is accurate and current.

-Communicate with students regarding curricular logistics and schedules.
-Maintain and track curricular documents (schematics and weekly templates), including revisions and version control.
-Record maintenance, database maintenance, site visit preparation, and correspondence.
-Maintain knowledge of processes and procedures to be able to provide back up to curriculum team members including but not limited to:
-Coordinate regular and ad hoc curricular meetings including scheduling, agenda preparation, notes (discussion items and resulting task list), and distribution, room reservations, and other administrative tasks.
-Participate in the policy development and revisions regarding the curriculum.
-Provide consultation for LMS and CMS (E.Flo MD) design and functionality.

10% Course Catalog Management
-Independently lead the launch of the catalog project for the 4th year curricula and maintain after project completion. This may include developing an action plan, assigning support tasks to other individuals, and monitoring project timelines for completion.
-Maintain knowledge of the course catalog requirements and changes to policy/procedure. Assist in educating others regarding course catalog policies, procedures, and their changes.
-Ensure the College courses are listed accurately in each clinical campus (Spokane, Tri-Cities, Everett, Vancouver) course catalog.
-Facilitate the new course submissions and course revisions (major and minor curriculum revisions) to the WSU Registrar Office and the WSU Faculty Senate. This involves first ensuring all course documents are prepared, signed, and submitted to the College committee structure and second to the WSU Registrar course revision system. Follows up on specific items and questions as needed.

5% Quality Assurance
-Establish, maintain, report progress to appropriate stakeholders, and follow quality assurance procedures.
-Monitor and facilitate the performance of curricular quality control checks by faculty and staff.
-Maintain, update, and distribute quality control standard operating procedures.
-Collaborate with partners across the College, Campus and University to resolve problems. Seek guidance from the manager of the Office of Curriculum when needed.

5% Other related work as required

Required Qualifications:

A Bachelor’s Degree with major study in specific instructional area; or equivalent education/experience.

Additional Requirements:

-Bachelor’s degree in Instructional Design, Curriculum and Instruction, Education, Business Management, Administrative Services, or closely related field. Experience may be substituted for degree.

-Demonstrated experience with educational technology systems including Learning Management Systems and other educational databases (e.g. MyWSU).

-Experience utilizing Microsoft Office products such as Outlook (specifically complex calendaring), One Drive, SharePoint, Word, Excel, and PowerPoint.

-Ability and willingness to learn new technologies through individual research or the ability to ask for help from colleagues.

-Experience in a fast-paced environment including frequent interactions with students, faculty, staff and/or the public.

-Proven ability to prioritize projects with competing deadlines, takes initiative and handle information in a confidential manner.

Preferred Qualifications:

-Advanced skills in Microsoft Excel (mail merge, creating/using formulas, tables, charts and graphs) Outlook, SharePoint and Adobe Acrobat Professional (creating fillable forms).

-Working experience in post-secondary education and/or working experience in secondary education (in some cases).

-Experience with Instructional Design and Academic Technologies in a medical school.

-Experience using Slack, Teams, Zoom (or other video-conferencing software).
