Position Summary:
Provides general administrative services to offices within Student
Affairs primarily by coordinating the daily office operations.


Essential Functions:
Offer is contingent upon successful completion of a criminal background check.
Provides administrative support to Health and Wellness Education
and Residential Life and has a dual reporting line to the directors of
these offices.


General Responsibilities:
• • Staffs front office including greeting students and other visitors,, and
answering each office’s main phone extension, and maintaining office
common spaces
• Maintains calendars, schedules meetings for staff, and initiates
space/event requests for staff and student leaders
• Provides event support including catering arrangements, set-up,
clean-up, and on-site support for offices as directed
• Triages needs of students/parents/faculty/staff and directs them to
appropriate appointed personnel and resources.
• Provides clerical support for meetings, cross-office projects, print
materials, and website content for the offices and programs within the
offices
• Provides support with major division activities e.g. Commencement,
Student Orientation (Fall and February), large scale events, program
launches, urgent/emergent situations
• Screens mail, forwards and posts information, orders office supplies,
maintaining office files, assists in special projects and mailings (hard
copy and email) as needed.
• Organizes use of office credit cards and reconciles credit card
statements,
• Coordinates preparation and submission of suppliers, contracts,
payment for services and contractors, and journal entries.
• Maintains inventory of and organizes office programming and event
supplies and manages ordering of materials as needed.
• Keeps informed as to Middlebury policies and requirements to help
answer questions students may have.
• Prepares travel itineraries for College travel
• Serves as the liaison with Facilities Services teams. Coordinates
project requests and work orders as needed.
• Provides support for staff and students as an administrator in
housing software when needed for housing fairs, room draw, housing
assignments, etc.
• Provides support for staff and students as an administrator in online
education software when needed for pre-arrival course assignments,
custom course designs, and compliance reports for all Middlebury
programs and online publication resources.
• Participates in departmental professional development opportunities
as available and appropriate for scope of position.


Qualifications
Education:

High school diploma or equivalent years of experience required.


Knowledge, Skills and Abilities:
• Knowledge and proficiency in Microsoft Office Suite programs,
Google apps, and willingness to be trained as an administrator in
campus software systems including Oracle, Banner, Hyperion, etc.
• Ability to maintain strict confidentiality in all aspects of the work in
accordance with state and federal mandates and guidelines
• Strong interpersonal communication and organizational skills
• Genuine interest in working with students, staff, and families;
commitment to support students and staff with diverse identities,
cultures, and experiences
• Works cooperatively with others and accepts direction from
supervisors


Experience:
2 years of administrative experience is preferred.

This is followed by the Bread Loaf Writers' Conference, which brings together 200 authors and aspiring authors for 11 days of intensive exchange about the art of writing. The Bread Loaf School of English is in session each summer not only in Middlebury but also at Lincoln College, Oxford, in the United Kingdom; at St. John's College in Santa Fe, New Mexico; and at the University of North Carolina at Asheville.

There is also an overseas dimension to Middlebury College. The C.V. Starr-Middlebury Schools Abroad are located in Belo Horizonte, Berlin, Bordeaux, Buenos Aires, Concepción, Córdoba, Ferrara, Florence, Getafe, Guadalajara, Hangzhou, Irkutsk, La Serena, Logroño, Madrid, Mainz, Montevideo, Moscow, Niterói, Paris, Poitiers, Santiago, Temuco, Tucumán, Valdivia, Valparaíso, Xalapa, and Yaroslavl.
