Job Description:

The Research Programs/Services Coordinator 1 and will work exclusively on the Network for Pancreatic Organ Donors with Diabetes (nPOD) Project within the Department of Pathology, Immunology, and Laboratory Medicine at The University of Florida. This position will be responsible for portions of the daily administrative management of the project, a multi-year research program under the direction of Mark Atkinson, Ph.D. The position will be responsible for many critical aspects of the program. This incumbent will be asked to provide excellent customer service to various internal and external constituents.

Duties include:

  • Investigator Coordination:
    • Manage relationships with investigators from initial contact throughout their project and to completion.
    • Guide and advise potential new investigators through the project and addendum application process; facilitate receipt of preliminary nPOD samples when needed to support investigator application; regularly audit and correspond with investigators working on applications or who have expressed intent to submit an application in order to notify of upcoming deadlines.
    • Assist Organ Processing, Pathology and Development Core (OPPDC) director and help investigators with creation and fulfillment of special specimen requests.
    • Regularly audit and correspond with investigators in order to keep accurate records as to project status and progress, issues, concerns and needs.
    • Work with nPOD Co-Executive Director to schedule and run Tissue Prioritization Committee meetings (minimum one/quarter), communicate with Committee members, assign review duties, take meeting notes, write and disseminate Committee decisions regarding investigator applications and requests; follow up with Committee Chair regarding responses from applicants.
    • Facilitate communication between individual investigators and between investigators and nPOD staff as needed; facilitate meetings for various groups or functions; schedule meetings, set up and run conference calls and Webinars.
    • Utilize PubCrawler, PubMed and other resources to regularly check for publication of articles by nPOD investigators.
    • Monitor and encourage investigator compliance with nPOD Publications policy and assist with proper implementation of nPOD nomenclature, etc.
    • Create and deliver relevant online newsletters to investigators, including new nPOD developments.
    • Work with Co-Executive Director to set up and run nPOD webinar every 2-3 months to dissimilate pertinent information to nPOD investigators; assist in selection of presenter; communicate with presenter, schedule and run webinars, advertise webinars to UF and nPOD communities, disseminate webinar recordings.
    • Promote and coordinate all investigator-related activities to ensure outstanding customer service.
  • Data Management and Online Outreach:
    • Administer the online pathology (Aperio) system and ensure that investigators have access, including updates to appropriate database(s).
    • Implement online opportunities for data sharing and collaboration by nPOD investigators.
    • Work with DataShare and OPPDC to maintain investigator database, including contact information, proof of current IRB, MTA, project purpose, co-investigators, etc.
    • Assist with specific investigator queries. Work with OPPDC to provide individualized case information not readily available from online database.
    • Serve as nPOD’s administrative representative in the maintenance and development of current version of nPOD’s database, “DataShare” Actively engaged in the new Data Science team for building next generation nPOD database system.
    • Maintain Constant Contact as nPOD main contact management system for investigator communications
    • Maintain nPOD file sharing system (Dropbox) for easy access to all investigators-related files.
  • Administrative Duties:
    • Lead communication effort to nPOD investigators, medical examiners, and other colleagues as needed. Assist with special projects and tasks.
    • Be part of the nPOD admin organ procurement On Call team.
    • Assist with nPOD Annual Scientific Meeting planning, abstracts, program website and execution.
    • Assist with grant renewals and submissions; including, but not limited to, compiling and organizing materials.
    • Assist with organization and execution of other nPOD meetings, such as OPO Workshop, Mini- Retreat, etc.
    • Create presentation materials for various nPOD meetings, for use by various members of nPOD staff.
    • Occasional overnight travel to assist with and represent nPOD at meetings.
    • Additional duties as assigned to assure timely completion of tasks necessary for efficient operation of nPOD.

Expected Salary:

$48,000 - $50,000; commensurate with education and experience.

Minimum Requirements:

Associates degree or an allied health professional degree in an appropriate area and one year of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

• Previous experience in customer service.
• Previous experience in working with agencies involved in organ donation and procurement, research universities and a general understanding of the processes underlying operations of such organizations.
