Job Description:


The Director of Advising is seeking an organized professional who is comfortable working in a fast-paced environment to provide administrative and clerical support, including but not limited to maintaining files and updating records, and documentation of budgetary requests and their status. Deal tactfully and confidentially with student questions and problems, and refer students to appropriate college resources. Manage and update databases, collection of data, adherence to reporting requirements for the department to division and college leadership. Assist the Director, Assistant Director and Associate Dean with administrative duties as assigned.


SPECIFIC DUTIES:


  • Create weekly activity reports from Gecko online chat/text tool and OnceHub online scheduling tool;
  • Manage incoming SQL reports including disseminating report information while adhering to FERPA;
  • Assist with enrollment management divisional retention outreach campaigns to new and current BHCC students including calling and sending emails and text messages;
  • Utilize OnceHub to create and update appointments and events;
  • Submit requests for departmental website updates to the Integrated Marketing and Communications department;
  • Use Qualtrics to create, update, and collect data from surveys;
  • Create, update and submit payroll action forms (PAFs) for approved staff;
  • Assist with Advising & LifeMap assigned advisee outreach campaigns including calling and sending emails and text messages;
  • Manage the Advising & LifeMap and Director's phone lines and calendars;
  • Document and monitor office expenses in monthly budget reports


Requirements:


  • Two years of full-time or equivalent part-time experience in office management, office administration, business administration or business management or an Associate's degree in business administration, business management or public administration
  • Experience with standard office practices: proficiency with Microsoft Office Suite, attention to detail, ability to communicate effectively orally and in writing, excellent organizational, interpersonal and customer-service skills
  • Proven ability to work with a diverse faculty, staff and student population

PREFERRED QUALIFICATIONS:


  • Bachelor's degree in office administration, business management, or similar;
  • Five years of full-time experience in office administrative work;
  • Ability to work one evening per week (Monday-Thursday) 11:00a.m. - 7:00p.m. or 10:00a.m. - 6:00p.m.;
  • Experience working in a community college or other institution of higher education


Additional Information:


Salary: $1,707.31/bi-weekly
