Job Summary
Act as the primary administrative support for a school Chair. Duties will include, not limited to: manage calendar, coordinate meetings, make travel arrangements, and serve as the delegate for the Chair in all internal/external communications including those related to sensitive/confidential matters; assist in the coordination of administrative tasks for faculty searches; make travel arrangements and process travel-related reimbursements and expense reimbursements for the Chair, faculty candidates, school visitors, and members of the Chair's lab; assist with logistics of conference planning, seminars, special school events and development activities; assist in collecting statistical data, conduct analyses, report preparation, and presentations; maintain office filing system, provide administrative support to the School Administrative Officer (school chief of staff) as needed; process human resources paperwork for research faculty and postdoc new hires and department affiliates; coordinate the administrative task for faculty and non tenure track annual reviews; and, be the face of the school and represent the Chair in interactions with Associate Chairs, Dean, school faculty members and staff, students and visitors. The person will also help manage the administrative duties for the Chair's research lab. This includes helping these individuals with travel and research related expenses, coordinating meetings with the Chair and his lab, helping with the administrative duties related to pre-award preparations and working with our finance team on post-award activities and ensuring deliverables are processed. This position typically will advise and counsel: NA. This position may supervise: assigned office staff.

Provide administrative support to Associate Chair(s), as directed
Assist in coordination of administrative tasks of faculty searches
Make travel arrangements and process travel-related reimbursements
Assist with logistics of conference planning, seminars, special school events and development activities
Process HR paperwork for research faculty new hires and department affiliates; immigration paperwork
Perform other duties as assigned
Educational Requirements
Technical Diploma, Associate's Degree or equivalent combination of education and experience
Other Required Qualifications
Overnight travel requtoed for project delivery; flexibility in on-site daily service delivery hours (due to client shift schedules, project requtoements).
Required Experience
Four to six years of job related experience
Preferred Educational Qualifications
Bachelor's Degree
SKILLS
This job requires working knowledge of the administrative processes and practices employed in a higher education academic office. Within this environment skills in event planning, organization, communications and customer service are required as is the use of office and specialized computer applications.
