Job Description:

The Research Administration Assistant will support clinical trial post-award activities within the Department of Pediatrics Research Office. This position plays a pivotal role in ensuring billing compliance for the Department’s clinical trial activities. The position is responsible for confirming services performed related to clinical trials and ensuring payment for services rendered while adhering to strict processing timelines and compliance standards.

Responsibilities to include:

  • Confirming services performed by CTSI/CRC/IDS on Department of Pediatrics’ Clinical Trials.
    • Review and confirm all charges received from CTSI/CRC/IDS for Pediatric Clinical Trials.
    • Work with Study Coordinators to confirm services performed and to resolve any charge discrepancies.
    • Ensure charges received are confirmed within 72 hours of receipt.
    • Collaborate with CTSI/CRC/IDS Research Billing Team to resolve any incorrect services listed for verification.
    • Collaborate with CTSI/CRC/IDS Research Billing Team to resolve any incorrect invoices received.
  • Confirming services performed by SHANDS on Department of Pediatrics Clinical Trials.
    • Review and confirm all charges received from SHANDS, via the EPIC Research Module, IDS for Pediatric Clinical Trials.
    • Work with Study Coordinators to confirm services performed and to resolve any charge discrepancies.
    • Ensure charges received are confirmed within 72 hours of receipt.
    • Collaborate with SHANDS Research Billing Office to resolve any incorrect services listed for verification.
  • Ensuring payment of invoices received for Pediatric Clinical Trials
    • After confirming charges from SHANDS/CTSI/CRC/IDS, process payment of invoices received.
    • Add payment confirmation information to tracking logs.

Expected Salary:

$16.20 - $17.00 per hour; commensurate within this range based on qualifications and experience.

Minimum Requirements:

High school diploma or equivalent and four years of relevant experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.

Preferred Qualifications:

  • Experience working in post award clinical trials
  • Good verbal and written communication skills
  • Good organizational skills
  • Demonstrated experience operating in Microsoft excel
  • Knowledge of University of Florida rules, regulations and policies relating to pre- and post-award grants administration and clinical trial grant processes
  • Previous experience in confirming services and then processing payment based on services confirmed
  • Experience using the myUFL financial system. Ideal candidate would be able to look up balances and chart field information.
  • Experience working in medical setting and interacting with medical professionals and support staff
