Job Description Summary

Under the direction of the Associate Dean and Chairs, academic coordinators will work closely with fellow coordinators and staff to provide administrative support to TCOB with a focus on assisting Chairs, Directors, Associate Dean and Dean as they work to serve students, faculty, and various other stakeholders. The Academic Coordinator must be self-reliant, possess a high standard of work, exercise discretion when handling confidential information, and pay close attention to detail.

Job Description

Duties and Tasks:

  • Ensure deadlines for actions are met by organizing and scheduling supporting activities and following through until completion
  • Assist in meeting accreditation requirements for compliance purposes (SACS, ACBSP, COSMA, NSA, DHS)
  • Support assessment and program proposal initiatives
  • Assist the 7 Department Chairs, and 1 Associate Chair with faculty clearances, run budget reports, course schedules, program evaluations
  • Create faculty contract payroll each semester for overloads
  • Assist with Industry Councils
  • Support special projects such as Business Week
  • Track course development agreements
  • Aid with travel arrangements for travel to centers and travel reimbursements for the Department Chairs
  • Assist the Department Chairs and Associate Chairs with placing hiring ads and planning scheduling search committee meetings and candidate visits
  • Coordinate and schedule department meetings
  • Provide administrative support for Academic Program Reviews
  • Maintain School of Business calendar
  • Create screen updates for TECO Lobby
  • Assist with celebration of Academic Excellence Day
  • Analyze student and faculty data and generate reports for quality assurance
  • Assist in course scheduling efforts as well as making room reservations
  • Document and track maintenance service requests
  • Support the Chairs, Associate Dean, and Dean with other duties as required

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge:

  • AA, Bachelor or higher degree in business or closely related field
  • Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities. Office work experience highly preferred
  • Knowledge of academic processes with 2-3 years of working experience in an educational setting a plus

Skills:

  • Must demonstrate excellent interpersonal, oral, and written skills
  • Must be highly organized with the ability to focus on big picture as well as details
  • Excellent computer skills: Microsoft Word, Excel, PowerPoint, Access, and Datatel. Knowledge of internet resources
  • Excellent customer service skills

Abilities:

  • Ability to work independently with minimal supervision
  • Ability to prioritize work and handle multiple tasks
  • Ability to learn and implement new work systems and processes
