Department Summary:

Reporting directly to the Vice President of Culture and Experience, the Senior Executive Assistant serves as an example of living UNTHSC’s values while working with all departments on campus. Provides high-level administrative support to executives by conducting research, preparing financial reports, handling information request, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise hourly employees and/or lower-level clerical staff. Schedule and facilitate logistics for virtual meetings, including breakout rooms.

Position Overview:

The Senior Executive Assistant will provide high-level administrative support to executives by conducting research, preparing financial reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise hourly employees and/or lower-level clerical staff. Responsibilities of this position include but are not limited to: * Manage and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives. * Facilitate special requests for executives. * Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software. * Review and analyze budget reports and prepare and develop budget modifications and recommendations. * Attend meetings to record minutes. * Greet visitors and determine whether they should be given access to specific individuals. * Answer phone calls and direct calls to appropriate parties or take messages. * Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. * Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work. * Make travel arrangements for executives. * Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings. * Follow deliverables through appropriate processes from beginning to end and provide status updates (for example, contracts) * Proactively assist with other projects as needed

Minimum Qualifications:

Bachelor’s degree and three (3) years of related experience; or equivalent combination of education and experience.

Preferred Qualifications:

The preferred candidate will possess the following additional qualifications: * Highly organized and detail oriented *Basic project management skills a plus *Microsoft Office products with demonstrated excellence in Excel and PowerPoint * Strong written and verbal communication skills * Continuous learner and receptive to feedback * High level of interpersonal skills across all levels of the organization * Ability to handle sensitive and confidential information with discretion * Excellent editing and proofreading skills * Ability to learn processes quickly * Experience working with event planning and working with volunteers preferred
