Normal Work Schedule: Monday - Friday, 8:00 am - 5:00 pm

Job Summary: The Administrative Specialist performs highly responsible administrative duties of a specialized and complex nature under limited supervision. May prepare complex reports, oversee office administration, set up and maintain files, and attend meetings. Position may be responsible for budgetary information and serve as a liaison to other departments.

Additional Department Summary: The Administrative Specialist is responsible for administrative support for the Executive Director for Housing and Residential Communities (HRC); including but not limited to receiving and routing all incoming calls for the Executive Director, scheduling appointments, reconciling Purchasing Card, scheduling departmental conference rooms and automobiles as applicable, directing correspondence, ensuring housing information is up-to-date and accurate via our housing software system, Mercury, and making travel arrangements as applicable.

This position all assists the Executive Director by initiating resolutions (using sound judgment in screening and addressing concerns of residents, parents and staff). Responsible for administrative support for the HRC leadership staff, as well as, ensuring that daily operations continue as scheduled and handle any concerns that may arise in the absence of Executive Director or Leadership Team staff.

This position may require "extra hours" working during hall openings or other periods of high volume during the year. The Administrative Specialist may need to be flexible in work habits to allow for these high-volume periods.

Responsible for completing required training that is related to laws and regulations, that creates a more hospitable and respectful workplace; and safer work environment.

Required Minimum Qualifications: High School diploma or GED and a minimum of four (4) years of highly responsible general office experience; OR Associates degree and two years of highly responsible general office experience; OR Bachelor's degree or higher.

Skills and Knowledge: Working knowledge of PC's and standard software applications, such as Word, Excel, Access and Outlook, etc. Organizational skills. Effective communication skills, both verbal and written.
