Position Summary:

Under the direction and supervision of the Business Officer, the Business Services Coordinator manages and coordinates EHRA and SHRA human resource functions for the Division of Student Affairs. The position serves as the HR Specialist for the Division of Student Affairs providing consultation and assistance to Student Affairs directors regarding recruitment, reclassifications, salary adjustments, performance plans, evaluations, and other HR functions and issues. This person serves as the central source for HR forms processing for the Division office and departments within Student Affairs. The position reports directly to the Business Officer and supports the HR and operational mission of the Vice Chancellor of Student Affairs Office.

Minimum Qualifications:

BACHELOR’S DEGREE IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR AN EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Preferred Qualifications:

•Experience working in an academic environment
•Proficiency in Banner HR and Banner Finance
•Considerable knowledge of University HR practices and policies, HR forms processing, budgeting and accounting practices
•Ability to multi-task, meet deadlines and communicate well with others in a team environment and to interpret and apply a wide range of policies and procedures and share this information as needed
•Ability to problem-solve and respond to changing circumstances with a positive demeanor
•Must be able to establish and maintain professional and effective working relationships with an extensive group of university staff and administrators

Essential Tasks:

HR Management – Under the supervision and direction of the Business Officer, the Business Services Coordinator manages and coordinates the HR functions (SHRA and EHRA) of the Division of Student Affairs. He/she provides oversight, support, and training related to SHRA/EHRA employment processes, procedures, and concerns in departments that report to Student Affairs including the Dean of Students Office, Veterans Resource Center, Campus Activities and Programs, Elliott University Center, Career Services, Office of Accessibility and Resource Services, Leadership and Service-Learning, Office of Intercultural Engagement, Recreation and Wellness, Student Health Services and Housing and Residence Life. She/he serves as HR liaison to the departments within Student Affairs, Human Resources, Payroll and other administrative units as needed to perform HR functions and resolve problems related to employees in those areas. The position serves as Leave Representative for the Division Office, serves as timekeeper, and responds to questions concerning leave balances and reports. In addition, the person serves as the central source for HR forms processing (job postings, hiring proposals, EPAFs, PAFs. PD-7s and other HR and payroll forms) for the Division office and seven departments reporting to the Vice Chancellor

Serves as the source for HR policy and procedures interpretation for directors and staff within the Division of Student Affairs. Investigates and responds directly to students, staff, faculty, administrators, and the public when concerns and questions reach the Student Affairs Division Office. Composes and edits correspondence as it relates to HR and financial responsibilities.

Manages and performs business functions of the Student Affairs Division Office, such as P-Card, office records, and compliance issues. Also serves as back-up to the Business Officer on financial matters. Assists Business Officer with special projects as needed.

Maintains personnel and position files for all SHRA and EHRA employees within the Division of Student Affairs ensuring accuracy and completeness. Ensures compliance with law and University policy as it pertains to records, HR, and budget matters within the Division.

Essential Tasks:

Serves as backup to the office receptionist and is responsible for being professional and respond with a high level of accuracy and sensitively in acknowledging all customers in person and on the phone. Must have knowledge of the functions of the departments within Student Affairs and other key departments on campus. Maintains view of office staff calendars for purpose of assisting visitors troubleshooting.
