Job Summary/Basic Function:Job Summary:
Provides general administrative and clerical support for the Office of Undergraduate Research including maintaining in good order all internal documents and files both in electronic and hardcopy formats, taking phone calls, welcoming visitors, dispersing mail, acting as courier for on-campus deliveries and pickups, filling, copying, faxing, word processing establishing and maintaining electronic records and files. Interest in developing and maintaining the Office of Undergraduate Research webpage. Interest and ability to create Newsletters and flyers for the events hosted by the Office of Undergraduate Research.
Essential Job Functions:
• Uses Microsoft Office applications in the creation and maintenance of documents, letters, forms.
• Enters and tracks purchase requisitions in a timely manner.
•Monitors office supply inventory.
• Coordinates the general maintenance of office equipment and facilities as necessary.
• Maintains all computer and paper records and always ensures their confidentiality.
• Make travel arrangements as needed for conferences, workshops, etc.
• Prepares payroll EPAF / F3.2 forms and F4.7 Request to Pay Vendor forms.
• In collaboration with the Director and the University PR person, coordinates the printing of marketing and publicity materials.
• Schedules meetings for Director calendar.
•Takes minutes during the meetings between the Director and the Advisory Board members, as well as for other ad-hoc or scheduled meetings with the Director of the Office of Undergraduate Research and keeps these notes confidential in an archive of the office.
•Helps with planning and running the events hosted by the Office of Undergraduate Research or where the office is solicited to participate by the university (such as Cardinal View).
Other duties may be assigned to this position on a regular or occasional basis to respond to needs of the university or the office, such as availability three times a year on Saturdays for the major Office of Undergraduate Research annual conferences: Texas STEM, HASBSEB and EXPO.
Minimum Education Required:
Associates’ degree from an accredited college.
Minimum Experience Required:
Three to five years’ experience.

•Excellent interpersonal and conflict resolution skills and ability to work effectively in a wide range of constituencies in a diverse community.
•Excellent organizational skills and attention to detail.
•Proficient with Microsoft Office Suite or related software for editing, publishing and creating simple artwork.
Physical Requirements:
•Sedentary-exerting up to 10 lbs. ; sitting most of the time at a desk on a computer.
Job Conditions:
•Works 8-5 in an office setting.
