Under the general direction of the designated administrator, this position reviews, audits and processes all transactions described within University Policies, Travel policy, and other related University policies. The incumbent must be able to work in a fast paced environment, make swift and informed decisions regarding routine matters and situations and be able to collaboratively work with members of the Accounts Payable/Reimbursement team, University community and University Suppliers. This position has a customer service focus and in addition will also be responsible for carrying out special projects as assigned.

DUTIES AND RESPONSIBILITIES

  • Oversee the University’s advance reconciliation process; auditing and reconciling transactions against the advances to University policy, review of outstanding advances with Departments for timely clearing and posting:
  • Auditing Concur travel and expense reports to ensure compliance with the Travel and Entertainment policy; review for allowability, reasonableness, and appropriateness. Assure that appropriate documentation has been included in the expense report to support expenditure with Federal, State and University policy.
  • Composes correspondence and other documents; communicates authoritative information and serves as a resource regarding policies and procedures, with responsibility to interpret such policies and procedures. Communicates with other university offices and/or outside agencies to request information or to provide information. Assists with training for university faculty and staff regarding changes in travel policy and procedures.
  • Performs other related duties as required.

MINIMUM QUALIFICATIONS

Bachelor’s degree in accounting, finance, business operations or in a related field or an equivalent combination of training and experience. Two (2) years’ or more of related experience working in an accounts payable office processing invoices and travel reimbursements. Demonstrated experience with a travel reimbursement software system such as Concur, PeopleSoft or Chrome. Good interpersonal skills and the ability to effectively communicate verbally and in writing. Ability to independently resolve problems. Good organizational skills with demonstrated attention to detail. Strong customer service skills. Working knowledge of Microsoft Office applications.

PREFERRED QUALIFICATIONS

Bachelor’s or Master’s degree in accounting, finance, business operations or related field. Experience with project management and process improvement. Demonstrated ERP experience using software, such as Oracle, KFS, PeopleSoft. Strong audit, analytical and problem-solving skills. Working knowledge of Concur SAP systems. Experience working in NCAA Division I school and athletic team travel.

APPOINTMENT TERMS

This is a full-time, permanent position. Salary will commensurate with successful candidate’s background and experience.
