Essential Job Duties:

The County Administrative Assistant is a member of the staff of North
Carolina Cooperative Extension (NCCE). The County Administrative Assistant’s primary responsibility is to provide support to the County Extension Director and other staff as assigned. The County Administrative Assistant cooperates with colleagues in the NCCE and county leaders in performing assigned responsibilities. The performance of assigned responsibility is governed by the philosophy, objectives, policies, and procedures of the NCCE.

The primary responsibility of this position is to assist the County Extension Director in performing administrative secretarial functions for the Dare County Extension Center. This position is responsible for budget related activities including purchasing, invoice processing, bookkeeping of multiple accounts and grants, confidential personnel records maintenance, and NCCE and Dare County mandated reports. Must maintain a high level of trust, confidentiality, and a positive, professional attitude supportive of team building. This position will also be responsible for supporting individual Extension Agent programs as assigned. The County Extension Administrative Assistant will also answer phones, greet visitors to the office, respond to general information inquiries, assist Extension Volunteer Groups and carry out other general office duties as assigned.

Work Schedule:

Monday - Friday 8:30-5, (occasional evenings, weekends as requested)

Minimum Experience/Education:

Graduation from high school and two years of related experience; or graduation from a two-year secretarial science or business administration program and one year related experience

Department Required Skills:

An extensive knowledge of computer applications is required including Word,
and Excel, and must have a willingness to learn new relevant software programs as they become essential.

Must be highly motivated and have strong organizational skills and the ability to multitask.

The County Administrative Assistant should possess strong written and oral communication skills.

The County Administrative Assistant must be understanding of and able to maintain confidentiality, especially as it relates to personnel issues.

Preferred Years Experience, Skills, Training, Education:

High School graduate with office experience. Must have effective time management skills, be able to prioritize tasks, and have proficient writing and oral skills. Budget and Accounting process skills, customer service skills and to be able to interface with other agencies. Human resource skills to assist with interview, hire and training processes. Notary Public helpful.

Required License or Certification:

Valid driver’s license and reliable, personal transportation required. In order to operate a state vehicle, a valid NC driver’s license is required within 60 days of hire and must be maintained.
