Job Description:

This position, under general supervision, advises graduate students concerning the academic requirements for their chosen program. This position is responsible for assisting graduate students in the College of Science and Engineering with understanding the processes for registration and course selection, as well as other processes to facilitate successful completion of their chosen program. This position provides students with information on university resources available to assist students in meeting their academic needs, communicates accurate and timely information, and interprets institutional and program requirements. This position may supervise projects.

Responsibilities:
  • Handle student paperwork with utmost confidentiality.
  • Meet the needs of students by keeping them up-to-date on changes to degree plans, and other advising issues.
  • Advise graduate students regarding degree requirements, university regulations, procedures, and rules.
  • Assist students with course selection and registration process (including registration system authorization per course when necessary).
  • Communicate accurate and timely information and interpret institutional and program requirements.
  • Track student progress and provide appropriate interventions and contacts to help students be successful.
  • Document advising contacts adequately to meet institutional disclosure guidelines and aid in subsequent advising activities.
  • Process various academic forms and follow up on processed forms to ensure that the student's record accurately represents the student's chosen major program, concentration, and catalog year.
  • Maintain communication with COSE graduate program coordinators regarding student issues and progress.
  • Manage graduate student caseload, including maintenance of accurate and complete student file documentation. Pre-clear and certify students for graduation.
  • Develop, maintain, and distribute advisee/advising information.
  • Attend and participate in Graduate Academic Advising, College of Science and Engineering (COSE), and College of Graduate Studies meetings as applicable. Attend and participate in training and professional development events.
  • Direct students to resources, programs, and services on campus when it is appropriate to do so. Help students integrate information so that they may make well-informed academic decisions. Work to establish a partnership with students that will guide them efficiently through their academic program.
  • Perform appointment preparations including, but not limited to, reviewing all accessible academic records for accuracy and appropriateness of course work, communicating with academic departments for program-specific transfer equivalencies, and requesting the posting of approved transfer courses at the post-bac and graduate levels.
  • Participate in retention efforts in conjunction with COSE Graduate Program Coordinators including requiring probationary students to schedule appointments and discuss university guidelines and expectations at the graduate level.
  • Collaborate with CGS Audit and Compliance Coordinator regarding monitoring student progress to degree and graduation clearance.
  • Support College of Graduate Studies activities and events.
  • Attend commencement as assigned
  • Monitor the progression of doctoral students on the pathway to their degree. Ensure timely compliance with checkpoints and submission of mandatory program forms for doctoral students.
  • Prepare reports or provide input regarding university requirements and policies when requested. Keep all degree plans, guidelines, email and formal letters up to date. Maintain graduate academic advisor manual and lists of faculty advisors. Communicate advising, program, and COSE updates to College of Graduate Studies and, in consultation with College of Graduate Studies, address needed changes to program websites.
  • Work with the College of Graduate Studies and the Associate Dean of COSE on student issues and challenges, including probation, suspension, and retention. Serve as liaison to the Office of Admissions and Records, COSE department chairs, graduate program coordinators, and Associate Dean. Represent the College of Graduate Studies at university-wide meetings.
  • May travel to national and/or regional advising conferences; may be required to work beyond normal office hours and/or on weekends.
  • Perform other duties as assigned.


Qualifications:

Academic Advisor II:
  • Bachelor's degree
  • Two (2) years of advising experience


Academic Advisor III:
  • Bachelor's degree
  • Four (4) years of advising experience
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Knowledge of student information systems, degree planning, and degree audits
  • Ability to multitask and work cooperatively with others. Ability to present information clearly and concisely.
  • Ability to work with sensitive information and maintain confidentiality
  • Excellent written communication, analytical, interpersonal, and organizational skills
  • Ability to work beyond normal office hours and/or on weekends


Preferred Qualifications:
  • Experience as Academic Advisor II
  • Master's degree
  • Four (4) or more years of experience advising students in higher education
  • Experience with Banner, Argos, Laserfiche, and Degree Works
  • Demonstrated knowledge of developmental academic advising activities
