Minimum Requirements Associate's degree from an accredited college or university in a related field may be substituted for experience.
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization with a minimum of three years' experience performing secretarial/clerical assistant duties in an office setting.Knowledge, Skills, & Abilities Ability to maintain confidentiality Excellent interpersonal, written and verbal communication skills Proficient in Microsoft Office and other computer software/databases Detail-oriented with strong organizational, prioritization and multi-tasking skills Responsibilities The Office Associate provides administrative assistance to department chair and manager, full-time, and part-time faculty in the daily activities of the department, answer dept main line, errands within the Dental College, check the main line voicemail/fax inbox, and book the dept conference room. Maintain daily/weekly student and department files in Box, assist students on a daily basis with forms, questions, requests, and clinic chairs. Assist the full-time Office Associate with completing the AM & PM clinic MAP in axiUm, assign clinic chairs for treatment planning board dates each semester, the numbering of clinic chairs each semester, help prepare the student professional assessment forms when needed, moving petitions for approval, update attendance and competency spreadsheets in Box, update master rotation schedule w/rotation swaps, help secure annual student awards. All other duties as assigned.The duties include, but are not limited to:
    Answer department main line, take and deliver messages accordingly, check in the AM and throughout each day the General Dentistry main line voicemail/fax in Outlook, assist dept. manager, chair, full and part-time faculty, and full-time Office Associate with the daily activities of the department, to include faxing, scanning, typing letters, pick up and distribute department mail, deliver documents for signatures within the Dental CollegeAssist students daily with forms, requests, questions, and clinic chairs, complete the AM & PM clinic MAPs in axiUm by assigning students and faculty to required sections for planned treatment and posting MAPs in the clinic, assign chairs for treatment planning board dates each semester, help manage Sr. student rotation swaps by updating the master rotation schedule, manage Box competency and petition forms as well as attendance and competency spreadsheets and help to secure annual Sr. student awardsPerform all other related duties/tasks as assigned
