Minimum Requirements Bachelor’s degree from accredited college or university in Business, Communication, Journalism or related field with a minimum of three years’ proven experience in alumni relations, sales, marketing or event planning experience at this level.Knowledge, Skills, & Abilities Ability to maintain confidentiality Excellent interpersonal, verbal and written communication skillsProficient in Microsoft Office and other computer software/databasesDetail-oriented with strong organizational, prioritization and multi-tasking skillsKnowledge of web development, Adobe Photoshop, InDesign, Fireworks , Illustrator, Acrobat, Dreamweaver, HTML code and editingAbility to write, edit, create copy, make timely decisions, work within a deadline, maintain organization and supervise student workersPreferred Qualifications
  • 5+ years proven experience in alumni relations
  • Graphic design software knowledge is a plus (Indesign)
  • Master's Degree from an accredited college or university
  • Prior experience in private college/university advancement and/or alumni relations
  • Experience in fundraising or fundraising support (preferably higher education fundraising)
  • Knowledge of software used for fundraising/alumni data and an understanding of information management in a database structure (esp. Raiser’s Edge)
Responsibilities The Alumni Affairs Coordinator reports to the Director of Alumni Affairs, the Alumni Affairs Coordinator coordinates and assists with the planning, developing, and administering the university alumni engagement programs and activities in order to build strong connections between alumni and the university for a lifetime.¿ The duties include, but are not limited to:
  • Assist the Director of Alumni Affairs with Alumni Weekend to include securing facilities, equipment, security, entertainment, decorations, invitations and program printing, promotion (printed materials and Web materials), postage, supplies, parking, volunteers, order of events, food, beverages, extra help, speakers fees or honorariums, travel expenses and arrangements, billing and follow-up procedures for all Alumni Weekend events.
  • Assist the Director of Alumni Affairs with the Annual Brew and Que. Secure facilities, equipment, security, entertainment, decorations, supplies, parking, volunteers, order of events, food, beverages, extra help, billing and follow-up procedures for all Alumni Weekend events.
  • Assist the Director of Alumni Affairs with Regional Reception to include securing facilities, equipment, security, entertainment, decorations, sponsorships, invitations and program printing, promotion (printed materials and Web materials), postage, supplies, parking, volunteers, order of events, food, beverages, extra help, speakers fees or honorariums, travel expenses and arrangements, billing and follow-up procedures for all Alumni Regional Receptions.
  • Work closely with Alumni Affairs Coordinator (Student and Young Alumni Coordinator) as well of Student Life on Homecoming to include securing facilities, equipment, security, entertainment and decorations.
  • Use Raiser’s Edge alumni database (and all accompanying software/programs) to create queries, reports alumni list. Work with Director of Alumni Affairs on attendee list for events to include nametags and working with caterer on guarantee numbers.
  • Assist the Director of Alumni Affairs in coordination with Major Gift Officers with Receptions at National Specialty Meetings. Securing facilities, equipment, decorations, invitations and program printing, promotion (printed materials and Web materials), postage, supplies, parking, order of events, food, beverages and billing and follow-up procedures for all Receptions at National Specialty Meetings.
  • Perform all other related duties/tasks as assigned.
