Scope of Responsibilities:

Reporting directly to the Vice Provost/Vice President of Student Affairs, the Executive Director of Finance & Administration is the most senior financial leader for the Division of Student Affairs, stewarding revenue of more than $130M in a typical fiscal year. By providing vision and oversight to more than 20 staff, the Executive Director leads a centralized resource allocation function that supports student housing, campus dining, student health, and many other functions integral to graduate, professional and undergraduate student life at Duke. The finance team is responsible for supporting all departments, deepening an ethos of financial stewardship, reinforcing compliance practices, and providing technical expertise in budget preparation and forecasting. The Executive Director will accurately and effectively communicate information both within the Division and across the institution, especially in partnership with the Provost’s Office and University Finance. The Executive Director will also oversee all HR processes and practices in direct partnership with the Vice Provost/Vice President of Student Affairs.

Duties

  1. Oversee the comprehensive resource administration activities for Student Affairs. Oversee the annual budget process for the Division including all unrestricted, restricted, allocated, quasi, plant, and reserve funds. Lead and support four Directors of Finance and their respective teams. Continually monitor and assess all business functions, including budget development, payroll oversight, strategic forecasting, and other financial management processes to assist team members, identify improvements, and ensure adherence to the University’s general accounting procedures and guidelines. Develop accurate and timely projections, reports, and memos for divisional leadership and institutional partners. (30%)

  • Develop, promulgate, and coordinate divisional standards regarding contracts, standing orders, RFP/bidding processes, travel purchases, labor costs, and other activities essential to the operations of Student Affairs. Work in partnership with Associate Vice Presidents, Assistant Vice Presidents, and Directors to ensure that standards meet educational or business needs and ensure transparency to senior leadership. (30%)
  • Work with the Vice Provost/Vice President of Student Affairs on long-term planning for the physical plant, staffing, and other strategic initiatives. Continually assess the higher education landscape to identify new opportunities and risks for Student Affairs. Advise divisional leaders on innovative strategies to enhance revenue capture using existing assets. (20%)
  • Contribute to a climate of collaboration through strong working relationships with internal and external campus stakeholders. Provide advice, counsel, and training as needed. Serve as the primary Division liaison to Finance & Administration and Human Resources in the Provost’s Office, Budgeting and Cost Allocations, Treasury and Cash Management, Plant Accounting, and Internal Audit. In addition, coordinate with Recruitment and Rewards & Recognition in University Human Resources, along with regular interaction with Counsel, Disbursement Services, Bursar’s Office, Corporate Tax, Procurement Services, University Compliance, and Financial Aid. (15%)
  • Other duties and project management responsibilities as assigned. (5%)
  • General Qualifications:

    A bachelor’s degree in accounting, finance, economics, business administration, or related field and eight years of relevant work experience, preferably in a university setting.

    Departmental Preferences
    • Commitment to equity and diversity in all its forms.
    • MBA or Master’s in a relevant field is preferred and may be substituted for two years of work experience.
    • Facility in aligning financial structures and systems to advance strategic organizational change.
    • Superior knowledge and experience in financial accounting and/or auxiliary operations.
    • Comprehensive understanding and fluency with current industry financial and payroll systems, e.g. SAP or Oracle systems.
    • Demonstrated success in staff supervision and performance management.
    • Thorough understanding of capital project financing, debt strategies, and institutional asset management.
    • Familiarity with best practices in human resource management and equitable hiring procedures.
    • An understanding of the educational value of an inclusive and equity-driven community.
    • Ability to juggle competing demands and set priorities to make continuous progress toward strategic goals.
    Minimum Qualifications

    Education

    Bachelor's degree required; related masters preferred

    Experience

    At least eight years of progressive experience successfully managing financial functions and some combination of career services, information technology, enrollment services, development and/or marketing or communications functions. Some experience in an academic setting preferred.

    Duke University was created in 1924 by James Buchanan Duke as a memorial to his father, Washington Duke. The Dukes, a Durham family that built a worldwide financial empire in the manufacture of tobacco products and developed electricity production in the Carolinas, long had been interested in Trinity College. Trinity traced its roots to 1838 in nearby Randolph County when local Methodist and Quaker communities opened Union Institute. The school, then named Trinity College, moved to Durham in 1892, where Benjamin Newton Duke served as a primary benefactor and link with the Duke family until his death in 1929. In December 1924, the provisions of indenture by Benjamin’s brother, James B. Duke, created the family philanthropic foundation, The Duke Endowment, which provided for the expansion of Trinity College into Duke University.Duke Campus

    As a result of the Duke gift, Trinity underwent both physical and academic expansion. The original Durham campus became known as East Campus when it was rebuilt in stately Georgian architecture. West Campus, Gothic in style and dominated by the soaring 210-foot tower of Duke Chapel, opened in 1930. East Campus served as home of the Woman's College of Duke University until 1972, when the men's and women's undergraduate colleges merged. Both men and women undergraduates now enroll in either the Trinity College of Arts & Sciences or the Pratt School of Engineering. In 1995, East Campus became the home for all first-year students.
