Job Summary

The Financial Aid Outreach Counselor will be responsible for internal and external outreach to prospective students, current freshmen, parents, and other stakeholders to bring awareness of Financial Aid programs, and services offered to students. This position will be responsible for counseling newly admitted traditional students and special populations regarding the financial aid process, various sources of financial aid, and the student’s financial aid award in relation to their tuition and fees.

This position works within the Center for Advising and Retention working with a team to serve incoming and first-year freshmen. The position will work collaboratively with other departments in the development and implementation of appropriate interventions in the application process to increase retention and support for students applying for Financial Aid by communicating to students through various forms of proactive communication platforms and providing training on financial aid.

Responsibilities

Responsibilities will include:

Outreach and Customer Service Duties

• Acts as a liaison for newly admitted traditional students and special populations (as assigned) by developing and conducting workshops and/or presentations.

• Participates in public speaking engagements on campus, at college fairs, high schools, financial aid nights, community groups, and other similar forums.

• Counsel students on all aspects of student financial aid including, but not limited to Satisfactory Academic Progress, EFC, state and federal regulations, aiming to resolve financial aid eligibility issues.

• Coordinates, develops, and implements communication and outreach campaigns designed to raise awareness of Financial Aid programs and services offered to students.

• Provides excellent service to students and other visitors in person and on the phone.

• Assists with answering phones, emails, and questions from students and the general public in an accurate and concise manner, providing clear explanations of complex and technical information.

• Assist in the development of the financial aid outreach program to include scheduling seminars and workshops, facilities, presenters, and promoting of the events

• Maintain student and institutional files, records, and databases. Provide reports as requested.

• Develop and maintain effective working relationships.

• Understand the use of technology and use it to facilitate students through the financial aid process.

• May oversee student workers

• Perform related duties and responsibilities as required.

Required Qualifications

Qualifications:

• Bachelor’s Degree with a minimum of three years’ experience in financial aid

• Experience working with Banner or a similar student information system.

• Knowledge of federal and state financial aid regulations and ability to understand complex processes.

• Proficient in Microsoft Office products.

• Effective time management and organizational skills.

• Excellent written and oral communication skills; effective presentation and organizational skills; effective interpersonal skills.

• Able to convey enthusiasm, energy, and poise

• Excellent interpersonal and teamwork skills

• Possess a valid driver’s license

Program Specialization Duties:

• Abides by policies and procedures to ensure compliance, quality customer service, and timeliness in all activities.

• Works in accordance with state and federal regulations, and participates in file review processes as needed or requested, up to the point of determining or making a financial aid award.

• Uses the Banner financial aid database system to monitor and track student eligibility for financial aid programs and communicates with students regarding missing information and required processes and procedures.

• Actively participates in all professional development activities such as trainings, project teams, and other opportunities.

• Engage in training on software and technology.

• Understand the functionalities of technology and how it is used to administer financial aid.

• Process financial aid files.

• Perform other duties as assigned by the supervisor.

Organization

The University first opened in September 1969 as Clayton Junior College with Dr. Harry S. Downs as founding president and an enrollment of 942 students. The Board of Regents of the University System of Georgia elevated it to baccalaureate status as Clayton State College in 1986 and university status as Clayton College & State University in 1996. The school’s current designation as Clayton State University was approved in 2005.

clayton_state_university2.jpgSince Downs’ retirement in January 1994, the University has had two presidents; Dr. Richard A. Skinner, who took office upon Downs’ retirement, and Dr. Thomas K. Harden, who took office in June 2000. When Harden was named chancellor of the University of Wisconsin Green Bay, Dr. Thomas J. "Tim" Hynes, Jr., was appointed interim president, starting on May 18, 2009. The current enrollment is in excess of 6,000 students and the school provides a multitude of undergraduate degree credit programs that—in the words of the university’s mission statement—provides "career-oriented education with a solid liberal arts foundation."

In addition to more than doubling its undergraduate degrees over the past 10 years, Clayton State also has added seven graduate programs in the past three years. The first, the Master of Arts in Liberal Studies, began in 2006. Since then, the Master of Science in Nursing, the Master of Health Administration and the Master of Business Administration all began in 2007, and the Master of Arts in Teaching (MAT) programs, MAT - English and MAT - Mathematics, in 2009. The Master of Archival Studies is scheduled to begin in 2010.

The past five years at Clayton State have also been highlighted by the establishment of the first joint state and federal archives facilities adjacent to campus, the institution of a comprehensive strategic planning process, the reaffirmation of the University’s accreditation by the Commission on Colleges of the Southern Association of Colleges and Schools and the opening of the Clayton State – Fayette instructional site in Peachtree City. In a six week period between August and October 2008, the University dedicated three new buildings; the University’s first student housing, the Student Activities Center and a new building for the AACSB-accredited School of Business.

Clayton State is also home to Spivey Hall, the finest small performance facility in the Southeast. First opened in 1991, Spivey Hall is known locally, nationally and internationally for presenting the best in jazz and classical music as well as an education outreach program that serves tens of thousands of school children from throughout metro Atlanta annually.
