Student Support Specialist - The Exchange

The Student Support Specialist is a vital member of The Exchange – a team empowering students and alumni to explore and discern potential career paths and develop key skills critical to their long-term professional success. The Exchange engages with students early and often and connects students to the larger community in the form of on-campus employment, informational interviews, networking, internships, mentoring, and community-engaged learning. The Exchange was recently recognized as a ’20-’21 Career Development College of Distinction.

Reporting to the Executive Director of The Exchange, the Student Support Specialist will promote Marian University’s Catholic mission and identity by coordinating all aspects of digital marketing for the office (in collaboration with Marketing and Communications); managing the reception desk and related administrative functions; providing career development support to students; supporting community-engaged learning efforts; overseeing the “Dress to Impress” closet (donations and student utilization); supporting all team members, vitally contributing to the efficiency and effectiveness of The Exchange; and completing other duties as assigned.

Essential Duties and Responsibilities:

  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan intellectual traditions in courses, programs, and services.
  • Reception area (first line of contact with students, faculty/staff, and community partners utilizing The Exchange).
  • Provide a warm greeting and high-quality, responsive customer service and telephone support to all guests and visitors to The Exchange.
  • Quickly and thoroughly triage inquiries to answer questions and refer to team members for additional support.
  • Digital marketing (including social media, bi-weekly newsletter, digital signage, and website support as needed).
  • Collaborate with Exchange team to write content, develop visually appealing marketing material, track the success of all marketing efforts, and continuously improve and refine those efforts accordingly.
  • Provide career development support for Saint Joe Indy students, walk-ins, and other students as needed;
  • Hold weekly virtual hours; collaborate on and support career development efforts (e.g. networking events, resume reviews and workshops, LinkedIn headshots, etc.).
  • Manage “Dress to Impress” closet (soliciting in-kind contributions, keeping inventory organized and updated, promoting to students).
  • Develop comprehensive marketing plan each semester to increase awareness and utilization of the closet.
  • Establish/maintain partnership(s) with community organizations for exchange of contributions.
  • Administrative functions: including space/parking reservations; ordering supplies; making IT/catering/campus operations requests; providing project and event support; providing support with CliftonStrengths assessment; data entry and management of Career Service Management system, Handshake.
  • Maintain and manage The Exchange’s budget by keeping records of expenditures internally, reconcile internal data with operating statements provided by finance dept, WebAdvisor/POs, and provide grant reporting assistance.
  • Collaborate with Exchange staff to assess and track outcomes for the success of the Exchange, students, and graduates – in relation to the institutional learning outcomes. Collect data around social media posts and outreach.
  • Work with Manager of Professional Development and Outcomes Assessment and larger team to prepare regular updates and reports highlighting efforts of the office, student success, and progress toward team goals.
  • Qualifications:

  • Bachelor’s degree required; Masters, or equivalent combination of education and experience, preferred.
  • Bilingual candidates (especially Spanish) strongly desired.
  • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds strongly preferred.
  • Excellent communication skills (verbal, written, proofreading/editing, and follow-through; ability to flex communication style to multiple cultural environments; ability to present to diverse audiences, specifically racially, ethnically, and socioeconomically diverse communities).
  • Ability to connect with a multitude of audiences (students, faculty, staff, administration, alumni, external community).
  • Commitment to customer service.
  • Strong initiative, critical-thinking, multi-tasking, and problem-solving skills.
  • Desire a detail-oriented self-starter who can be given a need or objective, break it down into executable pieces, identify questions that need to be asked, prioritize, and executive effectively.
  • Ability to work independently with minimal guidance and direction, as well as within a team environment.
  • High ethical standards for maintaining confidential information.
  • Prior office management, customer service, and experience with Handshake a plus.
  • A sense of humor appreciated.
