Position Description

The Learning Coordinator, School of Engineering and Advanced Manufacturing provides leadership and supervision for operational staff in the School of Engineering and Advanced Manufacturing (ScEAM) at Northcentral Technical College (NTC) to support ScEAM in providing the highest quality and customer focused delivery of accessible and effective technical learning. This role reports to the Dean, ScEAM, and includes leadership and supervision of the ScEAM administrative team, coordination of ScEAM learning activities and staff, and day-to-day management and coordination of ScEAM STEM Center and outreach activities in support of the Dean and Associate Dean.
As a member of the department Leadership Team, the Learning Coordinator will portray a broad institutional perspective that supports the College’s mission, vision, and values, while fostering and creating an environment focused on customer needs and supporting various external stakeholders including partners in both industry and our K12 organization. This Leader will ensure the safety of all employees and students of NTC at all times by exemplifying the understanding of the Health and Safety policy and related procedures.
The duties and responsibilities listed are intended to describe the essential functions of persons assigned to this role. They are not intended as an exhaustive list of all duties, responsibilities, and requirements.

Duties & Responsibilities

  1. Provide leadership and supervision to the ScEAM Administrative Team.
  2. Supervise work flow including forms and e-files, records, documents, and PeopleSoft application and usage.
  3. Supervise work schedules, vacations, overtime, staff development, and employee performance according to NTC policies and procedures.
  4. Supervise and coordinate staff and lab technicians work schedules, vacations, overtime, staff professional development, and employee performance to meet requirements (according to NTC policies and procedures), including workloads and program coverage.
  5. Coordinate the screening, interviewing, and recommending the hiring of new staff as appropriate.
  6. Supervise payroll requirements, including hours and wage guidelines for ScEAM (according to NTC policies)
  7. Facilitate team meetings and supervise action and outcomes.
  8. Orient new adjunct faculty to NTC and ScEAM operational policies and procedures.
  9. Supervise building of class and program schedules and rooms, resolving conflicts as required.
  10. Calculate projections for department enrollments and utilize when planning programs.
  11. Lead the gathering and curation of data and the calculation of statistics for department reporting purposes.
  12. Supervise department budgets (including projections for department revenue, expenditures, capital budget, and the purchase, maintenance, and inventory of equipment and supplies).
  13. Supervise certain contracts, grants, and other departmental learning projects as directed.
  14. Supervise the timely collection, input and submission of program / curriculum modifications based on department strategy and vision.
  15. Serve as a key contact person between the department and internal / external stakeholders as directed, including participation in department and College teams, meetings and / or committees.
  16. Ensure compliance of College policies and procedures as they relate to the department.
  17. Recommend for the continuous improvement and/or creation of spreadsheets, databases, correspondence, and other tools for the department.
  18. Review, modify, and/or create work and communications processes to ensure quality cost effectiveness and efficient operation of the department.
  19. Support department leadership in the implementation of College and State Quality Review Process (QRP) as directed.
  20. Manage and coordinate STEM center staff to ensure coverage for STEM Center use and events.
  21. Promote STEM Center usage in support of Action Plan Goals.
  22. Ensure day-to-day support for all STEM Center customers as necessary.
  23. Coordinate events for the ScEAM outreach trailers as required.
  24. Otherwise assist the Dean and Associate Dean in executing other STEM or outreach activities as determined as part of the ScEAM strategy and outreach vision.
  25. In certain circumstances, this position may be asked to perform some specific day-to-day management tasks within the School of Engineering and Advanced Manufacturing as backup to of the Associate Dean or Dean.
Qualifications

REQUIRED QUALIFICATIONS:
1. A four (4) year Bachelor’s Degree in a suitable discipline is required (e.g. Education, Business, Engineering, Project Management etc.
2. Four (4) years minimum cumulative experience in a similar supervisory position or with similar activities is required.
3. Mid to High Level administrative experience in either an educational or industry setting is required; extensive experience in PeopleSoft or similar ERP.
4. First-rate computer literacy, including the ability to adapt quickly to new software, technology and similar required (Word, PowerPoint, Excel, Access, Project, Visio, WIDS, SharePoint).
5. Excellent communication skills are essential for this role, including the ability to understand and convey technical, financial, or other specialist information.
6. High quality reasoning abilities and the capacity for logical and critical thinking on a wide variety of subjects covering various administrative and technical disciplines.
7. Must have a valid Wisconsin Driver’s license and pass NTC’s motor vehicle background check

PREFERRED/DESIRED QUALIFICATIONS:.

  1. There are no requirements for the person in this position to hold any licenses or certifications, though the following, or similar related subjects, are desirable and considered a positive: Educational Administration, Project Management, Financial Administration / Management and/or Process Improvement is desirable
  2. Knowledge and experience within a technical college, or similar education system is preferred.
  3. Leadership of cross functional teams is desirable.
  4. Demonstrates strategic and leadership abilities – can understand situations quickly and assist in developing suitable measures and countermeasures resulting in effective support for their team.
  5. Strong team working abilities as demonstrated by experience; will not dismiss or rebuff others and can demonstrate the capability to agree or disagree constructively when necessary.
  6. Exceptional negotiation skills and the ability to resolve issues by identifying the most effective course of action.
  7. Goal-oriented, with the ability to self-prioritize effectively across multiple goals and deadlines; solid and logical organizational & planning capabilities; resilient learning capability.
  8. Professional written and verbal communication skills, with the ability to interact appropriately with all levels of the business, and maintain the strictest confidentiality in all matters; proven writing, reading, oral and presentation skills

Hearing: Adequate with aid to understand oral requests, telephone conversation, and PA systems.

Personal Protective Equipment Provided:
The following protective equipment is required as standard when performing tasks in classroom, laboratory, or occasionally industry production facilities:

  • Safety glasses with side shields
  • Safety footwear with steel toe protection
  • Gloves (when lifting or handling objects)
  • Face shield, gloves, apron, etc. if performing or observing welding activities
Required Employee Program Safety Training:
Emergency action plan, emergency procedures, ergonomics (office/workplace) and slips, trips and falls
