Job Summary

The Department of University Information and Technology Services at Columbus State University invites applications for an IT Purchasing & Procurement Specialist. This position is responsible for overseeing IT vendor relationships, asset procurement, and detailed IT financial oversight. Responsibilities include collaboration with internal teams in support of the purchase of hardware, software, or services, as well as, monitoring and managing the supplier's service delivery, relationship, contract, and financial management requirements.

Responsibilities

Responsibilities include but are not limited to: submitting, tracking, and receiving goods and services through purchase requisitions and purchase orders in the PeopleSoft (eProcurement) financial system; managing user access security for PeopleSoft Financials and maintain updates as required for new and/or transfer of roles within the system; assisting various departments to implement strategic sourcing and vendor relationship strategies for all IT-related purchases (includes hardware for data center and office build-outs, hardware for new technology solutions, software support and usage licenses, etc.); ensuring vendor partners are effectively managed, post-contract, to the agreed upon SLA's, project timelines, and escalation of problems from a contract point of view; managing vendor relationships, maintaining escalation lists, renewals, upgrades, etc.; assisting in establishing SLA and metrics scorecards; including quality measurements in providing IT purchasing and procurement processes such as quotes and communication with customers and vendors; scheduling support meetings and combined vendor performance review meetings (monthly, quarterly, annual) to determine vendors are meeting expectations; managing all technology quotes, purchase orders (PO) submission and approval process; conducting a financial review of contract change orders and conduct consumption analysis; managing invoice approvals and ensuring billing accuracy; assisting the annual budgeting process across the various IT teams; assisting with asset tracking and management; maintaining files for a large variety of complex procurement contracts, documents, regulations, and correspondence in a shareable format to include software/hardware information; assisting in maintaining an enterprise software list that provides usage analytics that can be shared with CSU Leadership; assisting in reviewing software usage annually to determine if cost savings can be implemented across campus and within individual departments and colleges, meeting with each area annually to review their requirements; preparing contract documents ensuring conformance with regulations and procedures; preparing recurring and special reports; to include Pro Forma and IT Inventory Controls; performing contract administration support functions; independently perform general clerical duties in support of the office operations; and all other related duties as assigned

Required Qualifications

Minimum qualifications include a Bachelor’s degree and one to two years of applicable experience; or an equivalent combination of education, training, and experience that demonstrates the ability to perform the required skills in technology procurement/vendor management. The selected candidate must possess excellent organizational skills; the ability to work independently; and a demonstrated ability to manage conflict and issue resolution.

Preferred Qualifications

Experience in project management, meeting planning, and facilitation, preferably in an information technology discipline is preferred.
