The School of Medicine Dean’s Office, Office of Medical Education has an opening for a full-time University Staff (unclassified) Business Services Professional (Medical Education Support Professional) position.

Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Nature of Work
This full-time position is located at the University of Colorado, School of Medicine, in the Office of Medical Education (OME). This position provides daily administrative support to the Director of Finance and Administration (DFA), Faculty Leadership inclusive of Associate and Assistant Deans, as well as to a wide variety of administrative support within the Office of Medical Education. Tasks include management of the DFA and Faculty calendars, coordination of various meetings, taking minutes, coordinating with project managers, and the collection/distribution of key project resources. It is anticipated that this position will evolve with the new curriculum to support individual components of the Trek curriculum. 

The successful candidate will have a combination of experience with processes related to business administration, higher education, and/or medical education. Exceptional personal accountability, organization, and execution are essential to success in the position. The ideal candidate will be a fast, self-directed learner who can identify resources and contacts needed to gain information for the successful execution of their day to day responsibilities.

Indirect Supervision by the Sr. Associate Dean for Education, Office of Medical Education Assistant and Associate Deans, Program Director, OMESA, and Curriculum Manager.

Examples of Work Performed

Administrative support to the Director of Finance and Administration and Assistant and Associate Deans in the School of Medicine, Office of Medical Education (60%)

Examples of work may include but are not limited to:   

  • Manages and maintains calendars for the DFA and Faculty Leadership within the School of Medicine. This includes scheduling meetings and tracking key deadlines in support of office leadership.  
  • Compiles data, conducts research and may prepare preliminary drafts for various reports, special studies and surveys; searches various resources to locate and assemble specific information for response to Dean, UCD leadership, legislative and other requests. Ability to research historical and policy issues and advise supervisor(s) as needed. Proofreads and conducts edits on documents as needed. Assure information is well organized and readily accessible. Assure deadlines are met.
  • Ability to manage multiple standing meetings, staff high level enterprise meetings and provide concise written documentation of these events, follow-up on outstanding needs, prioritize needs with minimal supervision.
  • Coordinate travel and expenditures as needed; entering expense reports in the Concur Travel System and ensuring that guidelines related to business travel and expenses are met.
  • Develops and maintains a comprehensive filing system which enables access to historical and current office records, communications and both computerized and paper based information in a timely and efficient manner.  Assures that documents are properly stored and accessible upon demand. Adheres to University document retention policies. Initiate and recommend changes in procedures as required. 
  • Handles sensitive situations and performs a responsible liaison function between the School of Medicine senior officials and others. Maintain confidentiality and integrity of the office. 
  • May provide professional level administrative support for projects in which School of Medicine Dean or other senior official are involved on a local and national level.
Administrative support for Curriculum Reform and Curriculum Needs (25%)

  • Collaborates with the curriculum Deans and reform committee to determine specific goals, outcomes and expectations for curriculum reform processes. Serves in a project management support capacity to track project deadlines/goals to ensure completion. Will create process visualization for various curriculum reform projects. 
  • Completes expense reports and tracks expenses over time. 
  • Will create and implement an intake system for all Curriculum Reform requests. Uses knowledge of curriculum components, stakeholders, and processes to resolve inbound requests. Uses discretion to identify which stakeholders must be involved with each new request or inquiry. Serves as a liaison to connect team members with other key personnel for timely support of reform projects.
  • Develop new Standard Operating Procedures documents (SOPs) to support new processes related to Curriculum Reform. Manages existing Curriculum Team SOPs, updating as necessary to align with changes that are implemented as a result of the Curriculum Reform process.  
  • Maintains a centralized database of minutes and procedural content for ease of access to relevant Curriculum Reform documents and materials. 
Undergraduate Medical Education (UME) Administrative Support (15%)

  • Develop cooperation and cross-functional teamwork while participating in a group; working toward solutions which generally benefit all involved parties. 
  • Establish and then document best practices and standard operating procedures relevant to core work responsibilities. 
  • Support Office of Medical Education events and curriculum sessions as needed.
Salary and Benefits:

The salary range (or hiring range) for this position has been established at $44,526 to $62,337.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Qualifications
Minimum Qualifications:

  • A bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
  • One (1) year of experience supporting business services functions
Substitution: A combination of education and related technical/paraprofessional and/or program coordination experience may be substituted for the bachelor’s degree on a year for year basis.

Required: Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • 2-3 years’ experience working in a higher education environment or administrative professional experience in a similar environment
  • Experience working with online learning management systems
  • Website maintenance experience
