Overview:

Stanford University's Office of Development is committed to a donor-centric approach to fundraising. University Principal Gifts (UPG) provides fundraising support for presidential priorities and is highly collaborative partnering extensively with all of Stanford's schools and units on major initiatives, including working closely with the university's most generous benefactors. Medical Center Development (MCD) provides fundraising support for the key institutional priorities of Stanford Medicine, comprised of Stanford University Medical School - a premier research-intensive medical school, and Stanford Health Care - nationally recognized for quality patient care and leading-edge technology. As Stanford advances fundraising efforts to support the university's Long-Range Vision (LRV) initiatives developed by President Tessier-Lavigne and academic leadership across the university, Principal Gifts plays a fundamental role in securing lead philanthropy underpinning these efforts.



Within this framework, we seek experienced candidates for a Project Manager to join the University and MCD Principal Gifts teams. The ideal candidate thrives in a fast-paced environment and enjoys being part of a collaborative team. They must have excellent communication skills, enjoy working with a wide variety of people, and can multi-task and prioritize quickly and professionally in response to requests. This role requires patience, flexibility, sharp attention to detail, a high level of professionalism, a strong sense of priorities, and a superb level of tact and discretion.



Job Purpose:

The Project Manager will help leverage synergies of the UPG and MCD partnership, including on Stanford's LRV initiatives and specific funders. This position will provide collaborative administrative professional to support fundraising programs and activities for the University Principal Gifts (UPG) team and the Medical Center Development (MCD) Principal Gifts team (comprising Stanford University Medical School and Stanford Hospitals & Clinics). The Principal Gifts teams work on gifts of $10M+. The Project Manager will support and enhance the success of the Principal gift development efforts for key University and Stanford Medicine priorities and initiatives. This person will work with frontline fundraising staff, program directors, team members, other development colleagues, faculty, and volunteers to assist efforts to raise transformative philanthropy



Your responsibilities include:
  • Providing project and administrative support, and responding to a wide variety of questions as needed.
  • Assisting Principal Gift officers with their portfolio management of assigned prospects to cultivate, solicit, and steward their support.
  • Pulling reports and data for donor population from the Development database; performing PowerPoint, Google Sheets and/or Excel functions to synthesize data; creating charts and graphs.
  • Helping write detailed donor visit briefings for senior academic leadership including the University President, School of Medicine Dean, Hospital CEO, among others.
  • Assisting in preparing materials, including agendas, presentation decks, and background materials.
  • Assisting in the planning and implementation of events and donor cultivation.
  • Assisting in highly tailored stewardship activities demonstrating the impact of philanthropic support.
  • Assisting in research activities to inform strategies for prospects and initiatives.
  • Retrieving donor and prospect information, updating records, and generating reports using Salesforce, Stanford's external relations database, and financial reporting systems.
  • Troubleshooting gift and payment issues, and ensuring accurate donor record keeping.
  • Reviewing and tracking funds, and reporting on use of gifts, as assigned.
  • Based on fundraising analysis, developing strategies for development activities, solicitation assignments, and progress.
  • Tracking and preparing detailed reports on program and data analytics.
  • Working closely with other colleagues in development to align program goals with the overall giving goals of the university's development organization.
  • Representing the program or function within the department, unit or school. May also represent the program or function to external constituencies.
  • Organizing and/or participating in outreach activities that may include communications, events, training, and/or conferences. May participate in development of budgets or oversee budgets and monitor and approve expenditures.
  • May direct staff to perform various tasks and assignments.
  • Building a network of relevant contacts, and staying informed on current university initiatives and activities.
  • A commitment to promoting and supporting an environment of diversity and inclusion.

To be successful in this position, you will bring:
  • Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
  • Demonstrated ability to be highly proactive, and to prioritize own work and multi-task.
  • Demonstrated excellent organizational skills.
  • Demonstrated ability to take initiative and ownership of projects.
  • Ability to communicate effectively both orally and in writing with internal and external constituents.
  • Ability to routinely and independently exercise sound judgment in making decisions.
  • Exercise discretion in working with highly confidential and sensitive information.
  • Demonstrated experience working independently and as part of a team.
  • Relevant subject matter knowledge.
  • Exceptional attention to detail and followthrough.
  • A strong desire to work in a development environment and an interest in philanthropy.
  • Valid California Non-Commercial Class Driver's License.



Physical Requirements*:
  • Constantly perform desk-based computer tasks in both remote and office-based setting.
  • Frequently stand/walk, sitting, grasp lightly/fine manipulation.
  • Occasionally use a telephone.
  • Rarely lift/carry/push/pull objects that weigh 11-20 pounds.
