Description:

Under the direction of the Manager, Staff Relations and Professional Development, the incumbent provides administrative support and coordination within the broad Staff Relations and Professional Development portfolio to a team of approximately 100 appointed (Professional/Managerial, Confidential, USW, CUPE 3261, and IATSE) and 250 non-appointed employees of Hart House. The incumbent is responsible for an array of processes and initiatives to support across the staffing life cycle, from on-boarding to off-boarding; formatting and typing confidential and sensitive correspondence such as grievance dismissal letters and discipline letters; administering processes and managing communications with the Hart House staff community for the annual cycle of departmental activities; developing, implementing and assessing data gathering and reporting measures related to departmental portfolio; and contributing to the planning and execution of special projects within the department. In addition, the incumbent performs training and development needs assessments, and develops, executes and measures success of learning and development plans across all staff groups (leadership, departments, non-appointed staff, etc.) to address competency gaps and bring workforce knowledge and skills into alignment with strategic directions of Hart House.


The incumbent will carry out the above duties by researching organizational and training/development trends and best practices; consulting stakeholders regarding needs, methods, and plans; collaborating on the conception and implementation of various work plans; employing project management skills to develop work plans, set milestones, track progress towards set goals, assess outcomes and maintain accurate and complete project files; performing administrative duties in support of departmental processes, such as booking meeting and event logistics, setting meeting agendas, taking minutes, and following up on action items; communicating with the staff community regarding various deadlines, learning and development opportunities and events; and utilizing sound records management practices, such as for recruitment and personnel files.

QUALIFICATIONS REQUIRED:


Education:
College diploma, preferably in Human Resources or Adult Learning and Development, or equivalent combination of education and experience. Human Resources certificate, diploma or CHRP preferred.

Experience:
Minimum three (3) years related experience in project coordination, event coordination, and administration, preferably within a post-secondary or adult learning environment. Demonstrated experience in coordinating scope of projects and administering the development life cycle from conceptualization to completion. Experience providing administrative support. Demonstrated experience in administering multiple projects and tasks simultaneously. Current with human resources and learning and development trends and best practices, and proven experience in developing and executing training and professional development opportunities and programs for adult learners.

Skills:
Must have highly developed organizational, time management and written/verbal communication skills. Excellent interpersonal and problem-solving skills. Strong computer, including MS Office Suite, Basecamp or other project management software, online survey software, assessment software, HRIS/FIS, Outlook and the internet. Excellent administrative skills and knowledge and experience in both hardcopy and e-copy filing systems and records management.

Able to use tact, discretion, maintain confidentiality, flexibility and sound judgment. Possesses a high degree of initiative and the ability to work in a diverse team environment. Ability to effectively manage multiple projects/tasks of varying complexities, meet deadlines and work well under pressure. Demonstrated commitment to accuracy; ability to work well independently and as a member of a team. Demonstrated professionalism in dealing with internal and external stakeholders. Knowledge of University policies and procedures, and an understanding of the University’s mission and organizational structure is an asset.
