Primary Purpose of Position:

The Business Services Coordinator will provide administrative support to both the Budget and Personnel functions within Academic Affairs Budget and Personnel (AABP). Additionally for 6 months of the year this position will spend 20 hours per week providing fiscal, logistical and event planning support for the Levine Scholars Program.

Within the Academic Affairs Budget and Personnel unit, this position processes and tracks faculty administrative appointments, leaves of absences, resignations, retirements, uncompensated and dual employment appointments, along with the corresponding Academic Affairs’ resulting communication, responsible for postdoctoral personnel processes including administering the postdoc insurance each month, tracks moving reimbursements ($100,000+ annually), and serve as proxy for Academic Affairs approval of EPAFS ($7-10 million annually).

Within the Levine Scholars Program, this position manages student summer budget processing, purchasing card reconciliation, 49er Mart receiving and assisting with the planning and implementation of major events, planning and coordination of staff and programmatic travel.

Minimum Education/Experience:

Required Minimum Qualifications:

  • Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:

  • Four year degree in a related business function and one year of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.

Essential Job Duties:

Serves the Division of Academic Affairs in a shared, full-time appointment between the Levine Scholars Program administrative office (.25 FTE) and the Faculty Personnel function within Academic Budget and Personnel (.75 FTE) within the Office of the Provost. Is responsible for processing and providing status tracking and reporting for a variety of standard office administration tasks such as purchasing, travel, scheduling, event planning, etc. within LSP in support of students. And, within AABP is responsible for managing and processing a variety of faculty personnel forms, documents or e-workflows within AABP.
The position communicates procedures, timelines, and provides policy guidance by phone and email and uses Google suite tools to coordinate and share information between students, staff and administrators.

Other Work Responsibilities:

AABP responsibilities include: 1) Faculty Personnel Procedures and Documents Management. Processing, status tracking and reporting of a variety of faculty personnel forms, documents or e-workflows that includes, among others: faculty administrative appointments, leaves of absences, resignations, retirements, uncompensated and dual employment appointments within the division of Academic Affairs.
2) Post-doctoral Fellow Appointments. Severs as a liaison to campus offices directly responsible for Postdoctoral Fellow recruiting and hiring processes including administering insurance enrollment; coordinates appointment tracking between campus partner offices and AABP.
3) Faculty Moving Reimbursements. Processes and provide status tracking and reporting associated with moving reimbursements ($100,000/year).
4) Faculty Special Pays. Maintains working knowledge of Special Pay procedures and the EPAF system serving as an additional Academic Affairs approver-role proxy to internal team members.
5) Technology Systems and Software Use. Is technologically adept and works at a high proficiency level associated with Microsoft Office Suite, Google Applications, and other campus systems. Possesses data management experience and adeptly learns and uses a variety of e-workflows tools, working very efficiently with a high level of accuracy and timeliness. Demonstrates high-basic or low intermediate level of proficiency with Excel or similar tools. Has a willingness and ability to learn new systems readily and working with a variety of them on a daily basis.
LSP responsibilities include:
1) Meeting scheduling assistance.
2) Supporting civic engagement scholars program and summer internships, seasonally, by providing:
accounting and budgeting services;
purchasing and receiving support;
3) administrative support for a variety of student community engagement experiences through the planning and implementation of major events as well as planning and coordination of staff and programmatic travel.

Departmental Preferred Experience, Skills, Training/Education:

  • Bachelor’s degree in business administration or a related discipline; or, an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
  • Previous experience in higher education/University setting.
  • Knowledge of BANNER, 49er Mart, purchasing cards, and the EPAF system.
  • Strong attention to detail ensuring accuracy, completeness, and timeliness.
  • Excellent organizational, time management, and communication skills.
  • Ability to work independently as well as collaboratively with other team members and campus partner offices/staff.
  • Flexible and is open to and seeks feedback with a commitment to continuous improvement.
  • Strong problem-solving skills and clarifying options to guide self and others.
  • Customer service experience and commitment.
