ADMINISTRATIVE ASSOCIATE II

UT Extension Eastern Region Office

 

Duties/Responsibilities:

The UT Extension Eastern Region Administrative Associate II is directly responsible to the Region Director. Time allotment will be approximately 20% Agriculture and Natural Resources; 20% Family and Consumer Sciences; 55% 4-H Youth Development, and 5% CED. Duties include:

·        Perform Administrative Associate duties for staff and clientele that meet the needs of all eligible clientele regardless of race, color, national origin, age, sex, disability, region, or veteran status.

·        Serve as the initial contact person for clientele, supporting and coordinating activities and events connected to the Agriculture and Natural Resources, Family Consumer Sciences, Community and Economic Development, 4-H Youth Development and "Tennessee Nutrition Consumer Education Program" (TNCEP) and "Expanded Food and Nutrition Education Program" (EFNEP) programs.

·        Proficient use of computer programs: Microsoft Office (Word, Excel, Outlook, Publisher, and PowerPoint), SharePoint, WordPress, Quicken, IRIS, Concur, Zoom, QuestionPro, Qualtrics, SUPER, DocuSign, Microsoft Teams, Mural and Best of Showare.

·        Create and produce brochures, newsletters, fliers, posters, year books and correspondence.

·        Prepare and manage budgets, income and expense records, registration and training for Extension programs.

·        Order, manage & inventory office supplies, awards, and supporting materials for 4-H, FCS, and ANR programs.

·        Manage the collection of user fees and sponsorship for regional and state events.

·        Maintain office files, financial records, create electronic receipts, reconcile procurement cards, and make bank deposits. Receive and compile deposits for UT/4-H Foundation accounts as well as Quicken and R accounts.

·        Prepare monthly mileage reports and process travel and expense reports for ANR, FCS, and 4-H staff members.

·        Audit regional and county staff for compliance with effort certification, leave certification and Minors on Campus.

·        Train and mentor county administrative staff.

·        Obtain and manage group travel cards.

·        Maintain Eastern region website and calendar.

·        Coordinate agent assignments, manage camping registration and financial records.

·        Monitor Civil Rights Compliance Report completion for the region. 

·        Coordinate and maintain equipment schedules.

·        Solicit bids and cost information from vendors for purchases and repairs involving building maintenance, buses, and region owned vehicles.

·        Maintain proficiency with Extension policies and procedures supporting both regional staff and county staff by keeping them aware of deadlines on reports, questionnaires, and requests at all levels.

·        Perform strong customer service functions, such as answering telephone requests.

·        Interact with clients, stakeholders, county personnel, other departmental staff and UT/TSU administration.

·        Assume other duties as assigned.



Qualifications

Minimum/RequiredQualifications (include education, experience, skills & abilities, licenses& certifications):

·       Musthave a high school diploma, or equivalent.

·       Skillsand Abilities: Superior communication skills (written & verbal) andorganizational skills, ability to work with the public, be a team player, and aself-starter.

·       Officetype environment work of 1-3 years.

·       Proficientin Microsoft Office (Word, Excel & PowerPoint) and Quicken.

 

Preferred/DesiredQualifications:

·       Additionaleducation beyond high school diploma preferred.

·       Threeor more years office experience preferred.

·       Experiencewith SharePoint, WordPress, IRIS, SUPER and Concur.

·       CAPcertification.
