Educational and Experience Requirement:

Associates degree and at least 3 years of relevant work experience. Experience in Higher Education is preferred. Experience working at a medical school with SIM equipment highly desired. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position:

Performs advanced administrative assistant functions for the College of Osteopathic Medicine by coordinating and providing administrative support for the Director of Clinical Skills.

Primary Responsibilities:

Performs advanced administrative assistant duties. Provides departmental or university information to students, departments, and staff. Assists in developing policies and interprets policies and procedures. Schedules appointments and activities. Compiles, tracks, and reviews data and reports. Prepares, reviews, revises and distributes documents and correspondence. Orders and maintains supply inventory. Handles P-Card purchases and monitors expenses. Creates job postings, reconciles travel, answers phones, and performs general clerical duties such as photocopying, faxing, mailing, and filing. Serves as staff support to committees. Compiles materials, prepares and provides agendas, records and distributes minutes for meetings. Provides logistical support in setting up events, meetings, or other special functions. May also be asked to run reports via Microsoft Excel, Cognos, or B-Line. Performs other related duties as assigned. Works directly to support the educational mission of the simulation and clinical skills department which may include developing skills in educational software.

Other Specifications:

Strong team player with a commitment to customer service. Ability to communicate and work with administration, faculty, staff, and students. Excellent written and verbal communication. Demonstrates personal initiative and abilities to deal with a rapidly changing environment. Proficient in computer and software skills (especially Microsoft Excel) and with an ERP, CRM, or other university-related software. Excellent organizational and time management skills – ability to multi-task and complete work in required timelines. Must be able to work collaboratively with coworkers and provide a high level of customer service at all times. Must have the ability to solve operational problems and make suggestions for process improvement. Attention to detail is required. Attention and care is required in the performance of duties to prevent injury to self or others.
