Position Summary:

The UC Irvine Student Health Center is a comprehensive outpatient clinic staffed with licensed primary care physicians, psychiatrists, licensed clinical social workers, dentists, physician assistants, registered nurse practitioners, and registered nurses. Medical specialists from various disciplines including dermatology, orthopedics/sports medicine, gynecology, internal medicine, and ENT provide on-site consultation on a regular basis. Student Health also offers basic radiology and clinical laboratory services, insurance consultation, and an on-site pharmacy, making SHC a comprehensive and convenient clinic dedicated to serving students.

Under the direction of the Medical Director, this position provides administrative support to the Medical Clinics (Primary Care & Specialty), Ancillary Departments (Laboratory, Pharmacy, Radiology, Nursing) and their respective managers and supervisors within the Student Health Center who report to the Medical Director. In addition, this position provides backup support to the Office Manager in the Office of the Executive Director, and to the Administrative Assistant in Administrative Services as may be necessary. The incumbent is frequently called upon to handle large amounts of sensitive and confidential material with diplomacy and tact. In addition, this position must be able to successfully interact with a wide range of individuals, including but not limited to: students, parents of students, managers, supervisors, Student Affairs officers and employees, representatives from various departments across the campus, University of California Office of the President staff and vendors.

Compensation Range:

Hourly Rate $23.94 - $28.10

Required:

Five or more years of experience as an assistant to Management staff.

Demonstrated knowledge of all Microsoft applications including Outlook, Excel, Word, Visio and PowerPoint. Superior and effective interpersonal and communication skills. Demonstrated interpersonal skills to establish and maintain cooperative working relationships with other departments, campus staff & faculty, external vendors, UCOP, and students. Knowledge of English grammar, punctuation, and spelling. Skill to compose, edit, and proofread correspondence and reports. Ability to make independent judgments and decisions about office procedures and policies to effectively apply to individual and specific situations. Demonstrated ability to handle confidential matters/information with tact and discretion. Demonstrated ability to work in a dynamic environment of rapidly changing priorities and frequent interruptions.

Preferred:

BA/BS with one (1) year of experience or an equivalent combination of education and/or experience.

Knowledge of medical terminology. Knowledge of Adobe & Photoshop graphics editing software and Publisher.

Special Conditions Required:

Although this position's schedule is M-F and during traditional work hours, weekends or non-traditional work hours may be required for special projects or busy times of the year, or when strict deadlines must be met. In the case of extended hours, this position may be required to work those hours. Employment in this position is contingent upon successful completion of a Department of Justice (DOJ) Live Scan background check, verification and continued monitoring of licensure as it applies to the position, and successful completion of our background review or credentialing process, as appropriate to the position. The employee must comply with OSHA, CA/OSHA, and CDC recommendations and requirements regarding vaccination and testing of healthcare employees. This includes, but may not be limited to; current hepatitis B immunizations, annual flu vaccinations, and annual tuberculosis screening. At the discretion of Student Health Center, the employee may be offered an option to sign a declination acknowledgement in lieu of receiving an annual flu vaccination. Per the UC Ethics Briefing, the employee is responsible for reporting any and all potential conflicts of interest to their supervisor in a timely manner.
