The Perelman School of Medicine (PSOM) at the University of Pennsylvania invites nominations and applications for the position of Executive Director of Academic Affairs.
The University of Pennsylvania is the nation's oldest university and is among the most highly regarded in the world. Its four undergraduate schools and 12 graduate and professional schools provide extraordinary educational opportunities to its 26,000 students, and a unique professional environment for its 4,800 faculty. The University is also home to Penn Medicine, comprised of the Perelman School of Medicine and its clinical enterprise, the University of Pennsylvania Health System (UPHS). Perhaps to a degree not found elsewhere, Penn Medicine is an integral and fully integrated component of the University. Its leaders are very much citizens of the
University and share its mission, goals, and responsibilities. Faculty and staff routinely collaborate with and meaningfully contribute across Penn's institutes, centers and schools, and its culture embraces the University's values of inclusion, innovation, and impact.
Office of Academic Affairs
The Office of Academic Affairs has evolved out of the Office of Faculty Affairs and Professional Development given the expanding scope of services necessary to support faculty at the Perelman School of Medicine:
Faculty Affairs
Faculty Affairs functions are core to the effective operations of PSOM. These functions include faculty searches, hiring, onboarding, and advancement through the promotion process on multiple different tracks; oversight of the Committee on Appointments and Promotions; development and implementation of all faculty policies and procedures through collaboration with the University of Pennsylvania Provost's office and senior leadership in Penn Medicine; and indirect oversight of 28 department based faculty coordinators.
Professional Development
Advance is an institutional professional development and mentoring program designed to support the career advancement of roughly 3000 faculty at PSOM by fostering learning opportunities, spearheading initiatives, overseeing longitudinal programs, delivering content via face-to-face workshops, e-learning modules, and comprehensive online courses, and by curating and publishing for faculty the breadth of professional development offerings from across the school, health system and university. Professional development involves critical partnership with IT personnel at the highest levels in the school, health system and the university. In addition, the OAA provides professional development and training for the department-based faculty coordinators and Vice Chairs of Faculty in critical areas of policy interpretation to insure consistent application of University and School policies and procedures.
Faculty Wellbeing
Faculty wellbeing is critical to the success of faculty. The PSOM Faculty Wellness Committee includes stakeholders from each department as well as human resource leadership, IT leaders and innovation experts to support and enhance the NAM framework of institutional culture, working environment optimization and self-care. This domain intersects in many ways with the Office of Inclusion and Diversity, requiring frequent interaction with the Vice Dean for Inclusion and Diversity as well as University leaders.
Faculty and University Relations, Employment and Professionalism
The OAA provides services and education to faculty, department chairs, center and institute directors, and academic administrators to develop and maintain working relationships that are professional and productive. Such services may include communication with faculty and institutional leaders regarding professionalism lapses, conflict of interest matters involving public and private partnerships, and formal investigations in conjunction with the appropriate University offices including the Office of General Counsel.
Academic Partnerships
Academic partnerships are critical to faculty success and are overseen by the OAA. These partnerships include the Philadelphia VA Medical Center, where over 200 faculty participate in the clinical, research and education missions, and other schools at the University.
Data Analysis and Reporting
The OAA is responsible for collecting, synthesizing and analyzing multiple data sources to support PSOM processes, inform the strategic plan, direct resources to maximize efficiencies and effectiveness, and promote innovative solutions that affect faculty.
THE ROLE AND RESPONSIBILITIES
The Executive Director of Academic Affairs reports to and works closely with the Senior Vice Dean for Academic Affairs at the Perelman School of Medicine at the University of Pennsylvania. The Executive Director of Academic Affairs will be an outstanding leader with an evident passion for and commitment to excellence in all mission areas. The ED will work collaboratively with all departmental chairs, center and institute directors, and executives of Penn Medicine and the University of Pennsylvania fostering honest and transparent lines of communication between and amongst administration and faculty. The ED will:
- Oversee a growing staff in multiple domains with a focus on assessing and prioritizing institutional needs, eliminating redundancies, and developing and implementing a strategic plan;
- Engage in highly complex decision making to address school-level issues, including synthesizing and analyzing multiple data sources, directing resources to maximize efficiencies and effectiveness, and promoting innovative solutions that adapt technology;
- Oversee the development, review, evaluation, and implementation of faculty governance policies in collaboration with faculty and administration across the university;
- Compile faculty data and review analyses to define trends related to inclusion and diversity, retention, academic advancement and salary equity;
- Create guidance for faculty, staff and school-based leaders that enables proactive monitoring and support for faculty academic progress, including collaboration with department chairs to recommend eligible candidates for academic promotion;
- Indirectly oversee 28 department-based coordinators to ensure proper training in the policies and procedures supporting the appointment, promotion, employment and human resources of faculty.
- Oversee faculty professional development including providing expertise and recommendations in technology, systems design project management, and high-level initiative implementations across mission areas; and researching, selecting, and overseeing the integration of internal and external technical tools for professional development product creation and delivery, negotiating contract licensing structures for relevant products;
- Oversee faculty relations particularly as related to employment issues and professionalism lapses; participate in high level discussions regarding conflict of interest or commitment issues with faculty, particularly as related to public private partnerships;
- Work closely with the Office of Inclusion and Diversity to develop and implement initiatives to recruit and retain a diverse faculty and contribute to a culture of enhancing faculty diversity;
- Oversee relations related to academic partnerships including the Philadelphia VA Medical Center.
- Administer select awards within the institution, and advocate for external faculty recognition through regionally and nationally recognized awards and programs;
- Support and advocate for policies, procedures and initiatives that support faculty wellbeing;
- Provide guidance and administrative support to various leadership and faculty committees.
Qualifications:
- Hold a minimum of a bachelor's degree (master's preferred) with > 7 years of experience in a University or academic medical center setting.
- Demonstrate expertise at building strong internal and external relationships, with a track record of working with academic partners, physicians, physician leaders and diverse management teams.
- Demonstrate strong technical acumen to extract information from systems and databases; ability to organize and analyze data into reports and presentations; advanced PowerPoint and presentation skills.
- Demonstrate experience with and understanding of faculty professional development with the goal of supporting innovative educational programs and dissemination strategies.
- Demonstrate a track record of promoting an environment of accountability and continuous performance improvement by establishing and monitoring concrete performance measures to drive achievement of targeted outcomes.
- Have the ability to prioritize competing important demands with keen attention to detail and flexibility in work schedule.
- Demonstrate the ability to initiate and foster relationships with internal and external constituents that enable dynamic partnerships, cost-effective resource sharing, and inclusiveness and diversity in fundamental approaches.
- Possess exceptional judgment, professionalism, poise and confidentiality in representing the School to internal and external constituencies.
