Throughout the coronavirus pandemic, Stanford University has been designated an essential business focused on continuing our research and education activities. We have relied on strong partnerships across the university to develop tools to assess the health of our essential faculty, staff, and students and to monitor compliance within an evolving framework of health orders and policies.

We are seeking a Program Manager who will be a full-time member of the multi-unit COVID Compliance Team. You will play a leadership role in working across the university with systems developers, leaders developing policy, and a distributed group of people using our newly designed tools and procedures to keep our university community safe and healthy.

This is a two-year fixed term position with responsibilities that will evolve with the ongoing efforts to manage operations during the pandemic. You may be tasked with other research compliance projects beyond COVID as public health conditions evolve and workloads permit.

This position reports to the Senior Associate Dean for Administration in the School of Engineering, with a dotted line to the Senior Associate Dean for Finance and Administration in the Vice Provost and Dean of Research office.

In this role, you will:

Represent the user community to central organizations:
  • As the primary interface between distributed users and central policy-setting groups, provide user-centered perspectives on current and suggested business processes; translate expectations from leadership to actionable on-the-ground plans.
  • As the primary interface between distributed users and central, product-specific development teams, provide user-centered perspectives on suggested enhancements, user-oriented testing and validation, and perspectives on how changes to individual tools in the COVID compliance suite may impact other teams/tools.
  • Support various technical teams with testing, debugging, and decisions on requirements/implementation details.


Design and deliver support mechanisms for the user community:
  • Provide substantial amounts of group and individual just-in-time support as questions and issues arise. Identify and implement strategies for efficiently educating the distributed compliance community, such as weekly “office hours”, small-group deep-dive sessions, weekly email updates, etc.
  • Identify topics where central documentation would be most beneficial. Draft documentation and seek review by SMEs, and/or enlist SMEs to draft documentation for review. Share documentation with the compliance community, and ensure that it remains up to date as tools and processes evolve.


Provide data-informed support for the university's overarching COVID compliance efforts:
  • Maintain a deep, rich understanding of the datasets and tools available to provide insights into the Stanford community's performance regarding COVID compliance. Provide actionable data and/or insights to audiences ranging from local units to the compliance project team to university leadership.
  • Identify and monitor emergent, actionable trends and stories in COVID compliance data; design meaningful visualizations and other representations to communicate these to university leadership to ensure that the Stanford community at all levels has meaningful, timely access to data in support of the quick, nimble decision-making that has become critical during the pandemic.


Education & Experience (Required):
  • Bachelor's degree and eight years relevant experience or a combination of education and relevant experience.


Knowledge, Skills and Abilities (Required):
  • Knowledge of, computer system capabilities, business processes, and workflow.
  • Current knowledge of rapidly changing computer technology.
  • Extensive experience with enterprise applications and understanding of database driven applications.
  • Ability to design and document complex business systems.
  • Proven problem solving and analytical thinking and ability to approach problems logically and systematically.
  • Strong understanding of the software development life cycle.
  • Requires knowledge of, computer system capabilities, business processes, and workflow.
  • Project management skills as needed.
  • Skill in conducting interviews and facilitating group meetings.
  • Excellent communication skills, both written and verbal, including the ability to bridge functional and technical resources by communicating effectively with individuals of varying systems expertise and business needs.
  • Strong listening, negotiation, and conflict resolution skills.


Physical Requirements
  • Constantly perform desk-based computer tasks.
  • Frequently sit, grasp lightly/fine manipulation.
  • Occasionally stand/walk, use a telephone.
  • Rarely writing by hand, lift/carry/push/pull objects that weigh up to 10 pounds.
