JOB PURPOSE:

Under minimal supervision, provide support in planning, coordinating, and implementing communication programs. Develop internal and external written communications, web and digital communications, and design and coordinate media relations programs and efforts, including day-to-day execution of integrated marketing and communication plans in support of the Library & Archives' mission and strategic goals.

The successful candidate will write knowledgably and clearly about Hoover's library and archival collections, research being conducted at the Institution, exhibitions, programs, and events. The Communications Manager will work collaboratively across the organization, interfacing with archivists and librarians, public affairs, development, fellows, research operations, and strategic communications.

As a staff leader for Library & Archives in marketing and communications, the Communications Manager will be expected to fulfill duties such as leading presentations, overseeing publications based on Hoover Library & Archives collections, and proactively identifying and developing content that should be communicated to key Hoover constituencies.

CORE DUTIES*:

  • Develop, execute and oversee written communications of moderate complexity, including presentations, speeches, news stories, web content, talking points, and correspondence and social media posts.
  • Participate in regular meetings of key researchers with media relations needs to develop strategies and tactics for facilitating effective communications.
  • Assist in identifying and maintaining professional relationships with key press, policy influencers, and community leaders.
  • Assist in preparing content for, design, and distribute internal or external newsletters and other digital and email marketing resources. Understand email and digital content distribution.
  • Identify individuals/groups to attend and/or speak at public meetings or other events.
  • Coordinate media, community or government relations, and ensure logistics and preparations are handled.


ADDITIONAL CORE DUTIES*:
  • Develop, implement, and assess comprehensive marketing and communication initiatives for the Library & Archives, including internal and external promotion strategies. Serve as point-of-contact for press for Library & Archives.
  • Oversee the development of the Library & Archives website and social media presence, including coordinating and generating new content, updating legacy content, and executing other web-related activities as needed. Manage part-time staff dedicated to web and social media maintenance and development.
  • Conduct tours of the archives and presentations of Library & Archives collection materials for Hoover and Stanford staff, potential donors, classes, and a variety of visitors, as needed.
  • Serve as point-of-contact and liaison for external publishers and internal Hoover departments and to accomplish Library & Archives communication projects and initiatives.
  • Collect and maintain statistics, reports, and other metrics to assess and improve functions.

MINIMUM REQUIREMENTS:

Education and Experience:

Bachelor's degree and three years of relevant experience or combination of education and relevant experience. Relevant experience in a cultural heritage institution (e.g. a library, archives, or museum) or demonstrated skills acquired in an analogous industry and knowledge of issues particular to cultural heritage institutions.

Advanced degree in communications, archival practice and theory, twentieth- or twenty-first-century history, English, or relevant academic discipline preferred.

Knowledge, Skills, and Abilities:
  • Excellent written communication skills, reporting skills, and skills in conceptual editing, copy editing, and proof reading.
  • Ability to work collaboratively with internal communications groups across campus.
  • Demonstrated interpersonal skills in working with a variety of people.
  • Capacity to write and synthesize materials and communicate information in a manner easily understood.


Desired/Preferred Knowledge, Skills and Abilities:
  • Excellent time management skills with the ability to manage and prioritize multiple tight deadlines.
  • Demonstrated ability to apply ingenuity and creativity in solving complex problems.
  • Proven success in managing complex publication production processes, including design and printing. Demonstrated knowledge of design and distribution of print and e-communications.
  • Experience with, or ability to learn, skills for the supervision and training of staff and student assistants.
  • Demonstrated knowledge of twentieth- and/or twenty-first-century history highly desirable.
  • Knowledge of one or more non-English languages, particularly Japanese, Chinese, Russian, or Polish, highly desirable.
  • Demonstrated understanding of academic libraries or cultural heritage institutions highly desirable.


PHYSICAL REQUIREMENTS*:
  • Sit a great deal of the time; perform desk-based computer tasks.
  • Frequently twist/bend/stoop/squat, grasps lightly/fine manipulation, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 15 pounds.
  • Occasionally stand/walk, reach/work above shoulders, writing by hand, kneel/crawl, climb (ladders, scaffolds, or other).
  • Occasionally use a telephone, operate hand controls.
  • Must be able to push and maneuver a fully-loaded cart weighing up to 650 pounds that requires an initial push force up to 50 pounds. Ability to lift 40 pound boxes or bundles.

WORKING CONDITIONS:
  • May work in confined spaces and at heights 4-10 feet; be exposed to dust and mold; work extended hours, evenings and weekends.
