This position serves as Office Manager for the National Technical Assistance Center on Transition grant which is a grant with the U.S. Department of Education. This position requires knowledge of University policies, COE procedures, and project protocols in order to communicate information. Duties performed include preparation of documents and reports, the use of office technology, compiling records, organizing and maintaining files, posting information, greeting/referring/assisting clients/staff/others, mail distribution, and photocopying. The position requires detailed oversite and management of travel documents for staff, as well as processing of purchases for supplies and oversite of contract invoicing and budget reconciliation. The position will communicate regularly with the Office of Research in the College of Education, as well as the Office of Purchasing, and other fiscal entities on UNC Charlotte’s campus. The completion of work often involves interactions with university and project staff via phone or email to clarify, or provide information regarding activities of the work unit or program. The position will serve as the primary staff assistant to the Project Director and provide clerical support to other staff at UNC Charlotte. Other duties include general office duties.Minimum Education/Experience:
Required Minimum Qualifications:
- Graduation from high school; or an equivalent combination of education and experience.
University Preferred Qualifications:
- Graduation from high school, or completion of its equivalency, and three years of office/clerical work experience; or an equivalent combination of training/experience.
Support project director, in collaboration with fiscal staff at UNC Charlotte, in tracking budget expenses with regard to subcontracts, travel expenses, EGAs, and other project expenses. Manage the workflow of the UNC Charlotte office staff, including correspondence with essential partners at 6 other universities. Coordinate travel of staff and consultants, as needed in future years of the project. Support external communications (listservs) and organize data, as needed for quarterly and annual reports.Other Work Responsibilities:
Additional responsibilities will include coordination of travel for staff and consultants. Position will help manage and coordinate work-flow within the project office and with other project sites. Other duties as assigned.Departmental Preferred Experience, Skills, Training/Education:
Associates or bachelors degree preferred.
Additional advanced education or certifications reflecting knowledge of office systems, data, budget software, word processing, coordination, written language, or other relevant skills.
Experience working in a university or other state office preferred.
Candidate must demonstrate strong organizational skills to manage multiple in office and offsite activities.
