Position Summary:

Reporting to the Executive Director of the Center for Careers and Internships (CCI) and the Director of Application Development and Integration Services in Information Technology Services (ADI), the Systems and Data Administrator is responsible for application analysis, design, development, integration, enhancement, maintenance, and support of all CCI systems and platforms, including the Handshake student opportunities recruitment platform for both the Vermont and California campuses and the PeopleGrove Midd2Midd mentoring and networking platform. In addition, this position is responsible for all data analysis and reporting as it relates to student and alumni engagement and career outcomes to inform engagement strategies. This position collaborates closely with all CCI and Center for Advising and Career Services (California campus) staff as well as with the Office of Institutional Research, ITS, and Advancement. The position is also responsible for ensuring various technology needs throughout the office are addressed in alignment with the overall technology strategy and the direction developed in ITS.

Systems Administration

• Responsible for administration and support of both Handshake and Midd2Midd (PeopleGrove) web-based software platforms. This includes the maintenance of all records with a focus on accuracy and timely updates, the evaluation and implementation of new features that are offered and adopted on a regular basis, security, user access, testing, ongoing user training, creating accessible and clear documentation via wiki, and troubleshooting.
• Establish and maintain protocols and processes for office technology, and workflows related to Handshake and Midd2Midd.
• Oversee the configuration and use of the Handshake Experience module that supports the internship and opportunity grant funding approval process, used by approximately 500+ students annually. Provide reports on student usage and trends.
• Analyze technological needs for CCI as they apply to overall goals and strategy, recommending innovations as appropriate.
• Provide or arrange training in new applications and systems, increasing general skill level and educating staff on functionalities for streamlining work and providing more efficient service.
• Serve as liaison to ITS, and participate in the ITS Partners committee to facilitate communication of technology needs and changes.
• Work closely with technology vendors to ensure optimal design and performance with a focus on secure, reliable, resilient platforms as well as the ability to integrate with current student systems such as Blackbaud, Banner, Slate, and Salesforce.

Data Analysis, Trend Research, Reporting

• Compile, analyze, and report mid-year and annual data, drawing strategic insights related to office operations, past performance, and future planning.
• Analyze and report on monthly trends using visual dashboards to communicate operational performance.
• Educate and train CCI staff around data tracking responsibilities and procedures.
• Collaborate with Institutional Research and College Advancement to collect and manage student and alumni data including; first destination and alumni longitudinal career data and reporting and the summer activity survey.
• Research and report key regional and national economic, recruiting, and first destination data.
• Work with a team to manage the development and tracking of CCI key performance areas and indicators and help to create a culture of benchmarking and ongoing assessment.
• Research tools and develop processes for creating data visualizations that better communicate the work of the Center for Careers and Internships.

Training and Support

• Provide training for staff to fully utilize technology resources and how to input, manage and extract data from databases.
• Support colleagues by investigating problems and recommending solutions relative to any and all technology functions, leveraging ITS support relationships as necessary.
• Provide ongoing maintenance and periodic upgrades of PC and Mac hardware and software.
• Troubleshoot existing information systems to identify errors or deficiencies and develop solutions.
• Provide technical coaching and mentoring to CCI staff as needed.
Planning and Leadership
• Analyze existing applications to develop opportunities for improvements.
• Communicate with and collect research on the peer institutions in terms of best practices, business processes, and procedures.
• Oversee implementation of new and/or updated CCI systems, platforms, and applications.
• Evaluate and provide recommendations for application packages as needed. (e.g., buy vs. build).

General Responsibilities:

• Provide timely and complete project status reports to supervisor(s) as requested.
• Stay abreast of career services technology, automation improvements, and trends in the field and make proactive recommendations.
• Facilitate and serve on departmental, College, and cross-institutional committees as assigned.
• Serve as liaison to Middlebury departments or programs as appropriate; serve on CCI teams as assigned.


Bachelor’s degree, preferably in computer or information science.

Knowledge, Skills and Abilities:

• Expert proficiency in Microsoft Office and Mac applications and database systems required; knowledge of or experience with Power BI, Banner Student Information System, and/or Oracle systems preferred.
• Demonstrated understanding of data analysis and presentation along with the ability to translate end-user requirements into technical specifications; able to generate clear, concise, reports that include statistical information and outcomes to facilitate decision-making.
• Able to conduct analysis using survey, data analysis, or statistical software applications (Qualtrics, Power BI, etc.) preferred.
• Able to coordinate collection of data from multiple sources to meet firm deadlines required.
• A systematic approach to problem-solving and sound judgment.
• Strong ability to think creatively and strategically in a collaborative environment.
• Excellent interpersonal, diplomatic, and communication skills, and the ability to foster productive working relationships with a range of internal and external constituents.
• Ability to create, develop, and implement written protocols and procedures.

• Minimum of five years relevant experience.
• Experience with managing quantitative or qualitative data services and software platforms is required
• Experience with the manipulation of datasets and data visualization tools is required.
• Experience providing training and consultation to a wide variety of audiences.
• Experience in a higher education setting preferred.

Physical Demands:

Willing and able to travel periodically and work occasional evenings and weekends.
