Preferred Qualifications:

Some college or additional training preferred. Applicable experience in medical office, hospital, or similar setting.

Position Summary:

The Clinic Administrative Assistant schedules patient appointments, greets and registers patients, manages telephone calls to the assigned clinic, enters patient and other critical data, verifies charges, and performs other clerical functions in the outpatient clinics. Works closely with other members of the patient care team. Reports to and is directly supervised by the Clinic Manager.

Knowledge, Skills, Abilities and/or Competencies:

Handle multiple tasks with flexibility and attention to detail. Computer skills required to include Windows, Microsoft Office, including Outlook and Word. Previous experience using electronic practice management and Health record systems is preferred. Strong customer service and communication skills

Duties/Responsibilities:

Schedules appointments accurately and appropriately based on patient symptoms, eligibility, and age-specific needs. Schedules appointments with appropriate clinician and within appropriate timeframe. Communicates appropriate information to patients regarding their visit (preparation, timeframe, date, clinician, parking, etc.). Verifies eligibility and requests completion of patient questionnaire at the time of scheduling. Works in collaboration with clinic staff monitoring appointment schedules to ensure appropriate assignment and flow of patients. Refers complex or special needs to nurse or manager. Schedules follow up appointments for correct provider and within the correct timeframe.

Duties/Responsibilities:

Receives patients and others who present in the clinic for appointments, care, or special needs or services. Greets patients and visitors in a timely and courteous manner. Answers general questions, provides directions, and refers patients appropriately. Monitors reception area for patients in distress or for long wait times and acts to resolve. local phone number, address, email address and other demographic information when making appointment. Verifies completed health history and patient agreement form.

Duties/Responsibilities:

Verifies correct insurance and contact information in PnC at check-in and check-out in the clinic. Requests UGA identification card and current insurance card to compare with information in Open Registration. Verifies and updates correct contact information, including local address, local phone number, emergency contact, and email address. Verifies correct insurance information in Open Registration. If necessary, refers patient back to Registration prior to check-in for appointment. Verifies visit data accurately and promptly at the end of each visit. Provides walkout statement and other patient information to the patient. Provides follow up information as specified by the provider. Provides clerical and secretarial support for the clinic functions.
Maintains logs, files, forms, and other records of the clinic. Contacts patients as needed or directed for follow up care and appointments. Directs requests for release of records to RHI department. Records minutes of team meetings and other communications in collaboration with clinic manager.
