Job Summary/Basic Function:

Job Summary:
Manage and perform day to day administrative operations for the Departments of Art & Design and Theatre & Dance in the College of Fine Arts and Communication. This position works with and is supervised by departmental chairs.

Essential Job Functions:
General Duties:
•Oversight and management of all departmental communication including, but not limited to, general receptionist duties, mail distribution, direction of departmental emails and phone calls to appropriate constituents;
•Assist with course schedule building, monitoring departmental expenses, and maintaining budgets;
•Coordinates personnel records, including faculty files, payroll and implementation of related policies and procedures;
•Management of purchasing requests, purchasing issues resolution, faculty travel reimbursement, monthly credit card report, key distribution and records, process monthly timesheets and honoraria, and all hiring documents;
•Assist students with registration, add and late drops, and other related course issues as needed;
•Attend departmental meetings (i.e., attend meetings, taking minutes etc.) and all relevant university training and workshops;
•Provide general clerical support including the management of department chairs’ appointments and calendars, maintenance of office records and files, and maintenance of office supplies inventory, and oversee office student workers;
•Ensures all documents, employee, and student records are kept secured and confidential in accordance with FERPA and the University’s Privacy Policy;
•Perform other job-related duties as needed.

Minimum Qualifications:

Minimum Education Required:
2 years of college education.

Minimum Experience Required:
• 3 years’ experience in an office setting.
• Demonstrated history of engagement with the arts preferred.

Key Competencies:
Knowledge, Skills, and Abilities:
• Experience with MS Office Suite, Adobe Acrobat Pro, Content Management System, Cardinal Purch, and Banner.
• Experience using office equipment such as personal computer, various copier with multi-function capabilities, Fax Machine, Network Printers.

Physical Requirements:
• Ability to lift 40 pounds.
• Current driver’s license and ability to travel.
