To assist the Chair in managing the daily operations of the Department of English, Languages, and Mass Comm.Scope of Responsibilities:
To manage the reception area of the Department in a courteous manner; to assist and support the Chair in all aspects of office administration; to also provide assistance to 26 faculty and staff members and three or more adjunct faculty.Essential Job Functions :

•Manage the reception area as the public face of the Department in a courteous manner during hours of operation; greeting students, faculty, staff, and visitors cordially.
•Process paperwork in accordance with standard operating procedures and maintain information in an appropriate filing system.
•Process and manage all paperwork regarding personnel, including paycheck distribution, travel requests and reimbursement, monthly leave requests and other requested forms from various administrators.
•Supervise and effectively utilize the time of the Work Study students.
•Transcribe minutes of Departmental and Chairs Council meetings.
•Preparing and tracking requisitions to order supplies for the English Department, as needed to maintain storage of office supplies and to oversee efficient use of supplies and other resources.
•Maintains accurate account of Departmental inventory records.
•Provide technical assistance (such as with computers, printers or other electronic devices) to faculty and staff within the department and requesting CITS assistance when necessary.
•Retrieve and disseminate Departmental mail from the post office as well as packages delivered to the department for faculty and staff.
•Perform clerical duties such as routine copying, faxing, and scanning, filing, mailing, typing, and transcribing, answering phone, planning, and scheduling.

•Thorough knowledge of standard office practices and procedures and ability to work in accordance with these procedures.
•Ability to operate standard office equipment, including but not limited to computers, copiers, scanners, and fax machines.
•Ability to use personal computer and applicable software products. This includes but is not limited to Microsoft Office products and Adobe.
•Ability to learn software applications as needed.
•Ability to use Banner to input and check requisitions for ordering supplies.
•Ability to manage processes and multiple priorities and to work under pressure.
•Ability to establish and maintain professional working relationships with others.
•Ability to maintain confidentiality of information.
•Ability to establish and maintain organization in the office and within the department.
•Ability to interact with the public in a professional and courteous manner.
