Provide executive administrative management to the Office of the President in the areas of office organization, communications, and event management. Manage activities to ensure a well-executed, highly complex schedule of daily activities. This position will interact on a regular basis with: Visitors to the office of the President, Institute executives, alumni, corporate executives, donors, Regents and representatives of the Board of Regents, government officials, faculty, staff, and students.
- Manage the daily activities of the President including his/her calendar and advise and prepare the president as appropriate regarding upcoming appointments, meetings, travel, events, etc.Serve as primary scheduling contact with the campus and external community on behalf of the president.Develop agenda and plan and coordinate meetings, conferences and events.Track documentation requiring President’s signature. Compile information and other documentation required by the President; complete, submit travel authority requests and oversee the preparation of reimbursement Statement

An Executive Assistant is vital to the president’s ability to lead Georgia Tech’s mission of education, research, and service. The Executive Assistant to the President manages the president’s complex calendar, coordinates domestic and international travel arrangements, communicates on a regular basis with internal and external constituents, and compiles information and documentation as required for the president for meetings and events. This position is a critical asset to the president’s success and the president’s ability to address the concerns of students, faculty, and staff; to establish rapport with external partners; to engage with alumni and donors; to prepare for meetings and activities; to monitor the status of initiatives and special projects; and to participate in events and professional conferences and boards locally, nationally, and internationally. The Executive Assistant to the President may also provide administrative support to various committees, working groups, and task forces at the discretion of the president.
This high-profile position interacts with a wide range of internal and external constituents. The Executive Assistant collaborates with campus units that oversee various centralized services including academic affairs, research, development, human resources, finance, facilities, communications, information technology, and student initiatives. The Executive Assistant to the President is crucial to ensure that key events and administrative processes are on track each year, such as academic program reviews, annual reporting, strategic planning processes, and budget requests. The Executive Assistant also is called on to schedule and help organize high-level meetings and events in support of Georgia Tech’s mission and strategic plan.
The Executive Assistant to the President oversees processes that require the president’s approval, such as promotion and tenure review, annual performance review, budget presentation, and ongoing initiatives for direct reports. This position manages and ensures President’s Office compliance with a variety of internal and external policy, which requires advanced knowledge and the ability to apply and to interpret the University System of Georgia policies as well as Institute policies.
