The University of Virginia seeks a Unit Administrator to support the Department of Electrical and Computer Engineering in the School of Engineering and Applied Science. The Department of Electrical and Computer Engineering (ECE) prepares the next generation of electrical and computer engineering leaders to solve society’s grand technological challenges and improve quality of life. The Unit Administrator will manage the daily operation of the department, primarily in the areas of budget and finance, human resources, and the business of the department.

Responsibilities:

  • Responsible for high-level administrative support to the department chair by anticipating needs, recommending improvements for enhanced efficiency, collecting, analyzing, and interpreting data for surveys, general reporting, and financial reporting.

  • Assists department chair with management of faculty promotion and tenure dossiers.

  • Collects and prepares documents for foreign national employment-based visas (J1, H1B).

  • Ensures compliance with policies, regulations, and internal controls.

  • Develops and prepares budgets and financial reports.

  • Coordinates and participates in a variety of human resources activities including recruitment, writing job descriptions, compensation analysis, employee relations, and answering HR process questions.

  • Manages Human Resources including sensitive employee information, evaluations, hiring, compensation, and faculty promotion and tenure records which demand a high degree of responsibility and confidentiality.

  • Formulates internal procedures and guidelines for unit or department activities, including the business of the unit or department, such as academic administration.

  • Supervises, coordinates, and participates in departmental planning and development activities to ensure smooth and successful support of business operations.

  • Plans departmental budget needs by analyzing short and long term program plans. Project possible levels of support from multiple sources of funding.

  • Part of the department or unit senior leadership team which includes managers across business areas (i.e., Director of Graduate Studies). Serves as an active advisor to this group and works to carry out business operations under their direction.

  • In addition to the above job responsibilities, other duties may be assigned.

Qualifications:

  • Bachelor’s degree with four years of increasingly responsible management and administrative duties is required.

  • Two years of supervisory experience is required.

  • Experience in human resources, budgeting, accounting, finance reporting, and purchasing, as well as planning and delegating is preferred.

  • Demonstrated ability to lead and manage activities of a team. Exceptional organizational and time management skills is required.

  • Demonstrated ability to exercise judgement and interpret administrative policies and procedures is required.

  • Effective troubleshooting and problem solving skills are required.

  • The Ability to exemplify the University's educational mission, strategic aims, program, and core values is required.

  • Outlook, Microsoft Office, Zoom, and Adobe Acrobat is required.

  • UBI, Oracle HR, Workday, ExpenseUVA, Recon@UVa, UVaCollab, UVa Box, CSGold Administrator for building access, SYMPA, PO Shopper/Purchaser experience are preferred.
