This position is responsible for maintaining all faculty records, including hiring, faculty appointments, all aspects of faculty performance review, working with the Faculty Senate relative to faculty policies and procedures, have a thorough understanding of Board of Regents/USG policies as they relate to faculty affairs and ensure compliance of SSU’s faculty policies and procedures. May be directed to perform job related tasks other than those specifically delineated in this description.
Responsibilities include:
Generate annual faculty contracts
Generate mid-year contract addendums as needed
Track faculty searches and generate offer letters from the Provost
Handle appointments and hiring of all faculty
In concert with the AVPAA, provide process oversight for faculty performance review
Have a thorough understanding of faculty policies and procedures
Work closely with Faculty Senate and meetings
Be responsible for updating and modifying SSU Faculty Handbook as needed
Track changes in Board of Regents Policies related to faculty
Schedule orientation for new faculty
Assist with planning annual academic leadership retreat
Work with Faculty Senate and Provost to ensure compliance of SSU Policies and Procedures,
schedule Senate meetings, etc.
Utilize web-based Policy Tech software to input faculty policies and route them for electronic
approval at USG and SSU
Track records of all aspects of faculty performance review (annual performance, pre-tenure,
tenure, promotion, post-tenure)
Process faculty resignations and retirements
Work with Assistant to the Provost on funding for faculty salaries, administrative stipends,
summer pay, and overload pay
Handle hiring and compensation of part-time faculty
Maintain faculty files and related documents
Ensure faculty credentials are filed at point of hire.
Maintain the USG Major Faculty Events (MFE) Portfolio
May require occasional nights and weekends
Perform other duties as assigned
Minimum Qualifications
A four-year degree and a minimum of 4 years of office related experience required.
Requires attention to detail, follow-up and organizational skills, excellent people skills, and knowledge of Microsoft Office Suite, BANNER, PAWS, and PeopleSoft (OneUSG Connect). Will be cross-trained on other office positions.
Preferred Qualifications
Master’s degree with 6 years of executive level office experience preferred.
