The Executive Director, Cancer Center & Oncology Service Line Operations is a senior member of the cancer center’s executive leadership team and reports to the Sylvester Cancer Center Director. The Executive Director oversees the management of Sylvester’s research planning, financial enterprise and the developing Oncology Service Line to include supporting improvements in operational excellence, financial performance and strategy/growth. Key responsibilities include financial management, reporting, data integrity, budgeting, and accounting integration of clinical trials. This position will maintain a collaborative relationships with relevant stakeholders, including the pre and post awards grants office and any shared.

JOB FUNCTIONS

  • Oversees the administration of select aspects of the oncology service line and cancer center resource allocation and operations.

  • Supports improvements in operational excellence, financial performance and strategy/growth.

  • Develops and implements innovative approaches to addressing organizational problems or opportunities.

  • Acts as liaison with all levels of administration, faculty, and outside organizations to coordinate the Cancer center and Oncology Service Line business with the aim of implementing the Director’s vision and strategic plan. Coordinates operational planning, systems assessment and analysis, program development, and information management, of Cancer Center and Oncology Service Line across the health system.

  • Coordinates various activities to ensure the delivery of high quality research aligned with the mission and values of the organization.

  • Assist with the development and execution of strategic plans for the Cancer Center and Oncology Service Line to achieve vision and goals in collaboration with relevant stakeholders.

  • Provides strategic planning support to Cancer Center and Oncology Service Line Leaders including evaluation of potential partners and other initiatives aligned with the strategic plan.

  • Responds to the needs of the staff reporting to this position by assisting in the supervision, interviewing and selection of new staff members.

  • Works closely with the faculty and staff to ensure they have the resources (staff, facilities, supplies, and systems) to accomplish the highest quality of research and patient care in a cost-effective manner.

  • Facilitates physician recruitment and overall service related tasks needed to onboard medical staff.

  • Forecasts future equipment, space, and staff resource needs; Plays an integral role in the planning and construction of the future Sylvester research building.

  • Participates in the ongoing evaluation of the Cancer Center and Oncology Service Line and health care environment, emerging technological advances and market potentials; conducts studies and recommends adjustments in the organization, staffing, systems and procedures.

  • Ensures the vision and goals are consistent and supportive of the organization’s vision and strategic goals.

  • Measures service line growth by analyzing local and regional markets and seeks opportunities for program development, partnerships, and other business arrangements leading to growing and sustained.

  • Oversees the development and execution of the Cancer Center and Oncology Service Line’s operating budget to ensure that departments have adequate staffing, operating funds, and supplies to accomplish assigned objectives. Forecasts, develops, implements, monitors and controls budget; variance reporting; optimizes available resources.

  • Demonstrates personal commitment to customer service and satisfaction.

  • Provides resources for managers to ensure staff are dedicated to superb customer service; and responding to patient, physician or staff complaints.

  • Ensures compliance with all applicable regulations and standards of government agencies and accreditation bodies, as well as the Cancer Center’s standards of excellence.

  • Maintains an awareness of current and changing accreditation, regulatory, and professional standards impacting the Cancer Center and Oncology Service Line.

  • Collaborates with medical staff, administrative staff, and other providers in planning, defining, and establishing policies and procedures that support regulatory compliance.

  • Develops, retains, recruits, and leads a talented management team committed to accomplishing the organizational/business unit goals, objectives and corporate compliance.

  • Recommends, implements, and evaluates plans and systems that assures sufficient number of qualified and competent staff.

  • Adheres to administrative policy/procedures relating to human resource management.

  • Actively works to ensure a positive work environment for employees and ensures that personnel practices support effective recruitment, selection, training, evaluation, and compensation. Supports ongoing appropriate staff development.

  • Ensures effective communication with all staff.

  • Evaluates workflow patterns and staff responsibility: utilizes assigned resources and develops procedures to reduce cost and/or improve productivity.

  • Performs a workflow system analyses as needed; develops new methods of accomplishing tasks (if indicated); assisting managers in developing a cohesive staff, working as team members; striving to build teams across the organization, to keep them abreast on department progress, staffing needs, etc.; meeting with Cancer Center Director on a regular basis to share progress, plans and/or concerns; and develops policies and procedures for the effective operation of the Cancer Center and Oncology Service Line. Represents the Cancer Center and Oncology Service Line through active participation on committees and teams.

  • Oversees capital purchases, facilities, construction, and space planning for over 98,000 SF of administrative and research space.

  • Handles financial management and reporting of clinical trials.

  • Maintains collaborative relationship with pre and post awards grants office and shared resources finances ensuring report integrity, budgeting, and accounting integration.

  • Plays an integral role in the planning and construction of the future 198K square foot Sylvester research building, with a $182M budget, which is essential for Sylvester to renew and maintain NCI designation

  • Ensures internal control oversight and compliance with laws and regulations, safeguarding of assets, compliance with University policies and procedures, reliability of internal and external reporting, and efficiency and effectiveness of operations.

  • Creates an effective control environment, conducts risk assessment, implements and monitors controls.

QUALIFICATIONS

Department Specific Qualifications

Education:

Master's Degree in Health Care Administration, Business Administration or related field.

Certification and Licensing:

  • Process Improvement Certification preferred

  • Project Management Certification preferred

Experience:

  • Minimum 5 years management experience in healthcare operations with progressively responsible management experience in Oncology Services.

  • Preferred experience in an academic medical center environment.
